SMS Equipment is seeking an organized and detail-oriented Administration & Travel Coordinator to provide administrative support services for our Mining Administration team. Reporting to the Supervisor, Support Services, this position provides administrative support related to service operations, work order administration, reception services, expense reconciliation, reporting, and travel coordination within established policies and procedures.
Working closely with field supervisors, service teams, customers, suppliers, employees, and travel vendors, you will help ensure administrative processes are completed accurately while supporting a welcoming and professional branch environment.
Work Location: Acheson, AB
Salary: $55,000 - $65,000 per annum, based on experience
Work Arrangement: On-Site
Schedule: Monday – Friday, 7:00 am – 3:30 pm
What You'll Do
- Provide a warm, professional welcome for guests and employees while supporting site sign-in and compliance procedures.
- Create internal purchase orders for applicable customer charge expenses using Concur information.
- Maintain filing systems, scanned documentation, and JSOX document control requirements.
- Manage office supplies and distribute business correspondence.
- Respond to routine customer, vendor, and employee inquiries.
- Coordinate and book travel to customer sites in partnership with Field Supervisors.
- Arrange accommodations, rentals, and rate agreements with travel vendors.
- Provide after-hours and weekend support for urgent travel requirements when needed.
- Support work order administration, reporting, data analysis, cross-training, and other operational administrative duties as required.
What You Bring You are a dependable administrative professional who thrives in a busy environment and enjoys supporting operational teams. You bring strong organizational skills, attention to detail, customer service orientation,
and the ability to prioritize competing demands while maintaining accuracy and confidentiality.
Additional qualifications include:
- High School diploma and an Office Administration Certificate.
- 2+ years of experience in an administrative environment performing clerical and record-keeping duties.
- Advanced Microsoft 365 skills.
- Strong communication, organization, customer service, and problem-solving capabilities.
Nice to Haves:
- Experience in a service, mining, industrial, or heavy equipment workplace.
- Knowledge of eXtend ERP, SAP, or ISO Quality Management systems.
- Experience coordinating travel and accommodations for field-based employees
