The Opportunity
St. John Ambulance BC & Yukon is seeking a highly organized and service-oriented Administrative Assistant to join our New Westminster branch. Reporting to the Area Manager, this role is central to the daily operations of the branch, providing administrative and customer service support to clients, staff, contractors and volunteers.
The successful candidate is a proactive multitasker who ensures the efficient flow of operations while maintaining a professional and welcoming environment. This position plays an important role in upholding the organisation’s image and consistently reflecting the vision and values of St. John Ambulance BC & Yukon.
Responsibilities and Duties
Customer Service & Reception
- Respond to telephone calls, emails, and general inquiries, directing requests to the appropriate department as required.
- Oversee front desk reception and provide accurate course and service information to customers.
- Register students into appropriate training programs, process payments, and issue receipts.
- Monitor course registrations daily to ensure adequate enrollment levels.
- Liaise with staff regarding course changes or cancellations.
Administrative & Operational Support
- Prepare class lists and required documentation for upcoming courses.
- Prepare equipment, materials, and files for off-site training sessions.
- Submit branch orders for training materials, community services supplies, retail items, and first aid kits.
- Process customer orders and coordinate shipments.
- Follow up on accounts receivable as required.
Inventory & Facility Support
- Maintain inventory levels of office and classroom supplies.
- Ensure classrooms are properly stocked with first aid kits, gloves, sanitizers, and related equipment.
- Clean and maintain training materials and supplies (e.g., blankets, triangular bandages, uniforms, training mannequins).
- Assist with room setup, including moving tables and chairs when necessary.
Additional Duties
- Support the Branch Manager with special projects and additional administrative tasks as assigned.
Qualifications and Experience
- High school diploma required.
- Post-secondary coursework in office administration or secretarial studies preferred.
- 1–3 years of experience in an administrative or office support role.
- Working knowledge of financial accounting practices and basic bookkeeping procedures.
- Proficiency in Microsoft Office Suite, internet applications, and database systems.
- Experience using a CRM system is considered an asset.
- Experience in sales or retail environments is an asset.

What We Offer
- The salary range for this position is $38,025.00-$41,925.00 per annum. Final offer will be determined based on experience, skills, qualifications, and internal equity.
