Animal Care and Client Service Assistant (ACA) – Veterinary Dentistry

About the Role
Burlington Veterinary Emergency & Referral Hospital is looking for a compassionate, organized, and detail-oriented Animal Care and Client Service Assistant (ACA) to join our growing Veterinary Dentistry service.
This is a unique opportunity for a professional ACA with a background in veterinary medicine who enjoys both patient care and the client-service side of veterinary practice. In addition to providing excellent care and support to our dentistry patients and assisting during procedures, this role will also involve some administrative tasks, scheduling, client communication, and coordination to help ensure the Dentistry service runs smoothly and professionally.
The ideal candidate will be comfortable working in a specialty environment, communicating with clients and referring veterinary teams, and managing the many details involved in coordinating specialty patient care.
This is a new vacancy for a full-time role.
Key ResponsibilitiesPatient Care
● Provide compassionate, protected, and attentive care to dentistry patients.
● Assist with patient preparation, handling, transportation, and recovery as directed by the veterinary team.
● Support veterinarians and RVTs with patient care and dentistry-related procedures within the scope of the role and training.
● Monitor patients and promptly communicate concerns or changes to the veterinary team.
● Maintain clean, organized, and well-stocked patient care and dentistry areas.
● Follow hospital protocols related to patient safety, infection control, cleaning, and animal handling.
● Surgical assistance as well as instrument preparation
Client Service & Communication
● Provide a professional, welcoming, and compassionate experience for dentistry clients.
● Communicate clearly with clients regarding appointments, patient preparation, drop-off and discharge information, and follow-up.
● Answer questions and help clients navigate their pet's specialty care experience.
● Communicate professionally with referring veterinary hospitals and other members of the care team.
● Recognize when questions or concerns require escalation to an RVT or veterinarian,
● Help ensure communication between the Dentistry team, clients, and referring veterinarians is timely, accurate, and organized.
Administrative Support
● Assist with scheduling dentistry appointments and procedures.
● Help coordinate patient referrals, records, consent forms, and other required documentation.
● Assist with maintaining accurate patient records and ensuring information is complete and up to date.
● Support dentistry appointment and procedure coordination, including pre- and post-procedure communication.
● Assist with invoicing, deposits, and other administrative processes as required.
What We're Looking For
We're looking for someone who:
● Has previous veterinary medicine experience and understands the workflow of a veterinary hospital as well as some basic medical familiarity.
● Has a genuine passion for patient care and animal welfare.
● Is confident communicating with clients in a professional, compassionate, and approachable manner.
● Is highly organized and has excellent attention to detail.
● Can confidently manage multiple priorities in a busy specialty environment.
● Understands the importance of accurate documentation and timely communication.
● Is comfortable with hands-on animal care, computer-based administrative tasks as well as client service and communication.
● Works well with veterinarians, RVTs, ACAs, CSRs, and other hospital team members.
● Is proactive, dependable, and willing to take initiative.
● Is comfortable learning new systems and processes and contributing to the continued development of the Dentistry service.
● Values teamwork - our Specialty team members are required to provide a minimum of 1-2 Weekend /or stat holiday shifts per year in our Emergency service.
Qualifications
● Previous experience working in a veterinary hospital or veterinary medical environment is required.
● Experience in emergency, referral, or specialty medicine is an asset.
● Strong client service and communication skills.
● Strong organizational and computer skills.
● Experience with veterinary practice management software is an asset.
● Ability to safely and compassionately handle dogs and cats of varying sizes and temperaments.
