As the Assistant Clinic Director, you will support the Clinic Director in the effective clinical, administrative, operational, and organizational functioning of Adam Terpstra Psychotherapy Professional Corporation (“ATPPC”) and its associated clinic operations.
The Assistant Clinic Director serves as a member of the clinic’s leadership team and works collaboratively with the Clinic Director to support the delivery of high-quality, ethical, client-centred mental health services; promote effective communication and collaboration among clinicians and administrative staff; assist with the implementation of clinic policies, procedures, and initiatives; and contribute to the ongoing development and sustainability of the Corporation.
The Assistant Clinic Director reports directly to the Clinic Director and operates within the authority delegated by the Clinic Director. The position does not replace or supersede the authority, accountability, or decision-making responsibilities of the Clinic Director.
The Assistant Clinic Director is expected to exercise sound professional judgment, discretion, confidentiality, initiative, and appropriate leadership in carrying out delegated responsibilities.
Duties
- Assist the Clinic Director in implementing, maintaining, reviewing, and updating clinic policies, procedures, protocols, and operational practices;
- Assist the Clinic Director with clinician and staff performance-related processes, including identifying concerns, documenting relevant information, and participating in meetings or follow-up as requested;
- Assist the Clinic Director with orientation and onboarding of new clinicians, staff, students, and other personnel, as delegated;
- Assist with monitoring clinician and staff compliance with ATPPC policies, procedures, documentation requirements, professional obligations, and other organizational expectations;
- Assist with monitoring operational issues affecting clinic accessibility,
scheduling, communication, documentation, client service, and clinician support, and bring identified concerns forward to the Clinic Director;
- Assist with quality-improvement activities intended to strengthen client experience, clinician experience, administrative functioning, and organizational effectiveness;
- Assist with the coordination and oversight of clinic initiatives, projects, programs, and organizational improvements as assigned by the Clinic Director;
- Assist with the development, implementation, and evaluation of new clinic services, programs, workflows, and administrative processes;
- Escalate matters requiring the authority, professional judgment, regulatory responsibility, or decision-making of the Clinic Director rather than independently making decisions outside the scope of delegated authority;
- Identify and bring operational, staffing, clinical, ethical, regulatory, interpersonal, or other concerns to the attention of the Clinic Director in a timely manner;
- Maintain accurate records of work undertaken in the Assistant Clinic Director role and provide updates to the Clinic Director as requested;
- Maintain appropriate confidentiality with respect to all client, clinician, employee, financial, operational, business, and other proprietary information;
- Participate in leadership, administrative, and operational meetings as requested by the Clinic Director;
- Provide coverage or operational support during periods when the Clinic Director is unavailable,
within the authority specifically delegated by the Clinic Director;
- Represent ATPPC in a skilled and positive manner in communications with clinicians, staff, clients, professionals, external organizations, and other stakeholders;
- Review and provide preliminary feedback regarding operational documents, forms, procedures, communications, and other materials as requested by the Clinic Director;
- Serve as a resource to clinicians and staff regarding clinic procedures, operational questions, workflow concerns, and other matters within the scope of the Assistant Clinic Director's delegated responsibilities;
- Support effective communication between the Clinic Director, clinicians, administrative personnel, students, practicum personnel, contractors, and other members of the ATPPC team;
- Support the Clinic Director in addressing workplace communication, team functioning, conflict, and interpersonal concerns in a professional, respectful, and appropriately confidential manner;
- Support the Clinic Director in maintaining appropriate professional, ethical, regulatory, privacy, and organizational standards throughout ATPPC;
- Support the Clinic Director with the day-to-day clinical, administrative, and operational functioning of ATPPC and its associated clinic locations and programs;
- Perform other administrative, operational, leadership, or organizational duties reasonably related to the Assistant Clinic Director role and as assigned by the Clinic Director.

Pay: $37.00-$38.00 per hour
Expected hours: 10.0 per week
