SCOPE

Reporting to the Manager, Employee Services, the incumbent provides a high level of customer service to the University community pertaining to Human Resources (such as compensation, employment, payroll, pension, benefits etc.). They assure the accuracy of data by verifying documentation, retrieving missing data or correcting information and processing a variety of transactions related to an employee’s employment life cycle. The incumbent provides expertise and support and services to the University community and external stakeholders, in response to employee needs, and maximizes understanding of employee services through effective communication and administration, , resulting in efficient, consistent, and reliable community member experience that directly supports the University’s workforce and organizational goals.

PRIMARY RESPONSIBILITIES

- Act as the first point of contact for HR related inquiries after self- service options. Provide high-quality customer service to clients (HR Service Requests, telephone, email, in person, etc.) in all areas of HR.
- Perform investigation and analysis of service requests related to employee inquiries throughout their employment life cycle, encompassing all HR related topics. Provide resolution or escalate to a Centre of Expertise, following identification of potential root causes, as required. Ensure that established service commitments are respected.
- Administer employee benefit programs on behalf of the Process Owner (for example, validating eligibility, processing enrollments, changes related to eligible life events and terminations) in accordance with documented procedures. Calculate and/or verify employee payroll deductions regarding perks. Guide employees to internal resources and documentation on Carrefour and respond to queries related to this information as required.
- Monitor and review information received for compliance with university policies, procedures, guidelines and protocols. Provide explanation/information to the university community, as per respective policies, agreements, and/or collective agreements.
- Analyze and respond to HR service requests from the community.



Identify trends that point to situations that can potentially impact the community on a larger scale. Engage the immediate supervisor to provide identified examples and suggest process improvements to the Employee Services team’s internal work or to enhance the overall community member experience.
- Verify, analyze and process a variety of documentation pertaining to human resources, benefit administration, programs, pays and all other aspects of an employee's employment life cycle (for example, new hires, employee changes, tuition waivers, letter of attestation). Review and approve employee self-service transactions (for example, tuition deductions, RSP/TFSA deductions, work/study permits, payment info, etc.). Communicate with employees and provide clear guidance and support when corrections are required. Liaise with appropriate resource persons and/or external providers to investigate data discrepancies and ensure data integrity and follow through on resolution as required.
- Maintain and update employee status information by recording/entering various data in HR systems (i.e. onboarding, offboarding, leaves of absence).
- Compile and prepare reports and documents pertaining to personnel activities and employee information. Ensure accurate entry of employment information for both recent and existing employees into the Human Resources Information System (HRIS) by validating data received through various channels. For example, forms, reports, etc. Verify that any updates or changes that may affect related records are thoroughly reviewed, corrected, and consistently reflected across all relevant systems. Contact and communicate with employees and managers as required.
- Perform receptionist duties as scheduled and provide backup during absences.
- Perform other various administrative tasks according to the needs of the unit.

QUALIFICATIONS

- Diploma of Collegial Studies (three-year technical DEC) in a field related to and pertinent to the primary responsibilities, and two to four years of Human Resources experience.
- Good knowledge (Level 4) of spoken and written English to compose and proofread correspondence and to advise Faculty and Staff personnel about university policies. Good knowledge (Level 4) of spoken and written French to communicate with employee and government agencies; ability to read and comprehend French documents.
- Valuable knowledge (intermediate level) of Excel (to create, modify and format charts) and of Word (to create templates, format and create tables, and create mail merges); proven experience using e-mail and Internet applications; prior experience entering data into a database.
- Good knowledge of benefits and payroll.
- Detail oriented.
- Ability to work as part of a team independently; and be accountable for data integrity and accuracy of individual work.

- Good knowledge of the University's HRIS system or other recognized major HRIS System is highly desirable.
