Job title: Customer Service and Order Coordinator Role type: Permanent role, full-time Shift: Monday to Friday 9am to 5pm - Must be flexible to work on Saturdays if orders are there and can work from home. Work environment: Fully in office position Location: North York, ON The company supplies a comprehensive range of industrial plastic sheet materials for manufacturers, contractors, sign-makers, designers, and fabricators across Canada.
The Role:
The company has an established online business with a significant volume of incoming customer orders, telephone calls, and email inquiries. The objective is to hire a reliable coordinator who can take ownership of day-to-day customer communication and order administration.
Core Responsibilities
- Process and monitor incoming online orders accurately and efficiently.
- Answer incoming customer calls and respond promptly and professionally to customer emails and online inquiries.
- Assist customers with product, pricing, availability, order status, shipping, return, and other order-related questions.
- Maintain customer records, communications, and follow-up activities in HubSpot CRM.
- Prepare invoices and related customer documentation using QuickBooks.
- Coordinate internally with warehouse, operations, and other personnel to support timely fulfillment and shipment.
- Follow up on open orders, missing information, payment/confirmation requirements, and unresolved customer matters.
- Handle routine customer concerns professionally and escalate technical or complex issues when appropriate.
- Maintain accurate records and ensure customer commitments are followed through to completion.
Qualifications:
- Approximately 3 years of relevant experience in customer service, order processing, e-commerce operations, sales administration, or a closely related role.
- Demonstrated ability to manage a high volume of orders, emails, and telephone inquiries without sacrificing accuracy.
- Practical HubSpot CRM experience strongly preferred; comparable CRM experience may be considered for an otherwise strong candidate.
- QuickBooks experience, particularly invoicing and customer transactions, strongly preferred.
- Excellent spoken and written English and a professional telephone manner.
- Strong organizational ability, attention to detail, follow-through, and prioritization.
- Comfortable working independently in a busy customer-facing environment while coordinating with a team.
- Dependable, patient, responsive, and solution-oriented.
