Position Overview:
The Office Manager is a key member of the firm’s administrative leadership team, responsible for overseeing the day-to-day operations of the local office. This role requires a proactive, organized, and adaptable professional who can manage people, processes, and resources in a confidential and deadline-driven legal workplace. The ideal candidate has prior experience in a law firm or professional services setting and understands that the Office Manager will play a critical role in maintaining a productive and professional legal practice by ensuring lawyers are well-supported, staff are well-managed, and operations run smoothly.
Key Responsibilities:
- Operations:
- - Oversee daily office operations, including facilities management, supplies, and equipment.
- Support billing, timekeeping, and client intake procedures.
- Assist with the creation of the office budget (which forms part of the annual operating budget) and track expenses against said budget.
- Assist with the maintenance of firm policies and procedure documents.
- Supervision:
- - Supervise, train, and mentor support staff (legal assistants, paralegals, and administrative personnel), including performance evaluations and minor conflict management.
- Manage schedules, assignments,
and workflows to ensure lawyers receive timely support.
- Culture:
- - Promote a collaborative, respectful, and inclusive office culture aligned with the firm’s values.
- Act as a liaison between lawyers and staff to facilitate effective communication and resolve operational issues.
- Plan firm functions, staff meetings, and recognition events to build morale and engagement.
- Provide coverage and support to the HR Coordinator regarding staff and lawyer recruiting, onboarding, and offboarding.
Qualifications and Competencies:
- Post-secondary education certification with a focus on Business Administration and/or Human Resources;
- A minimum of 7 years of experience with at least 2 years as an Office Manager (or similar senior role) within a professional services environment, ideally at a law firm;
- Superior organizational skills, with the ability to proactively problem-solve and manage competing priorities;
- Strong professional presence and conduct;
- Established knowledge of Microsoft office suite software (e.g., Word, Excel, Teams);
- Ability to work in a fast-paced environment, with strong attention to detail; and
- Superior oral and written communication skills with a collaborative and diplomatic operational style.
