Job Opportunity: Experienced Medical Office Assistant – Surgical Coordination

Ophthalmology Practice | Chilliwack, BC

Compensation: negotiable, depending on experience and qualifications

Employment type: Full-time (minimum 30 hours per week)

We are looking for an experienced Medical Office Assistant (MOA) who enjoys taking initiative, has exceptional attention to detail, and is interested in developing their skills and taking on greater responsibility over time.

The opportunity

The successful candidate will play an important role in the day-to-day administrative operations of our practice, with a particular focus on surgical coordination, patient communication, and accurate clinical documentation.

We are looking for someone who is organized, dependable, proactive, and able to manage multiple responsibilities while maintaining a high standard of accuracy. The ideal candidate takes pride in doing things correctly, can work independently, and is motivated to continually learn and improve.

Key responsibilities

Surgical coordination and patient care administration

- Coordinate surgical bookings and communicate with patients, surgeons, hospitals, and other healthcare providers.
- Prepare, organize, and review surgical booking packages, consent forms, and supporting documentation.
- Ensure that patient information, surgical details, and required paperwork are complete and accurate.
- Coordinate preoperative and postoperative appointments, instructions, and follow-up communication.
- Maintain accurate surgical schedules and ensure that booking information is entered correctly.
- Communicate with hospital surgical departments and external providers as required.
- Identify discrepancies or missing information and follow up proactively to resolve them.
- Maintain patient confidentiality and adhere to all applicable privacy and professional standards.

Medical office administration

- Provide productive and professional front-office support, including scheduling, telephone communication, patient registration, and correspondence.
- Assist with referrals, medical records,



billing-related administrative tasks, and general clinic coordination.
- Support the smooth flow of patients and information throughout the practice.
- Maintain organized electronic and paper records.
- Assist with developing and improving administrative procedures, checklists, and standard operating processes.
- Work collaboratively with the team

Professional development

- Learn the administrative and clinical workflows of a busy ophthalmology practice.
- Take initiative in identifying opportunities to improve accuracy, efficiency, and patient experience.
- Gradually develop greater responsibility in surgical coordination and other administrative operations based on experience, performance, and interest.
- Participate in training and contribute to a positive, respectful, and team-oriented workplace.

Qualifications and experience

Required

- At least 1 year of experience as a Medical Office Assistant or in a comparable medical administrative role.
- Previous experience with surgical coordination, surgical bookings, or procedural scheduling is an asset but not required. Training can be provided for the right candidate.
- Strong organizational skills and exceptional attention to detail.
- Excellent written and verbal communication skills.
- Ability to prioritize tasks, manage competing demands, and meet deadlines.
- Strong computer skills and the ability to learn new electronic medical record and scheduling systems.
- Demonstrated reliability, professionalism, discretion, and commitment to patient confidentiality.
- Ability to work both independently and collaboratively.

Considered an asset





- Previous experience working in an ophthalmology or other surgical specialty clinic.
- Experience in a surgical clinic with substantial administrative responsibilities.
- Experience with cataract surgery coordination, hospital booking systems, or surgical documentation.
- Ophthalmic technician experience or a willingness to learn ophthalmic technician duties.
- Experience with electronic medical records, surgical scheduling software, or ophthalmology-specific systems.
- Experience creating or improving administrative workflows, checklists, or standard operating procedures.
