Nature of the Work:
The principal and customary work of the employee in this employment class consists in performing administrative functions of a relatively complex nature according to methods and procedures and clerical functions related to activities of the Human Resources department.
Responsibilities:
- Provides administrative support for recruitment, HR-led employee training and professional development and other HR activities.
- Prepares job postings, processes applications and updates the Applicant Tracking System (ATS).
- Updates relevant data in Human Resources Information System (HRIS) related to employees (creates and maintains employee files, uploads documents, generates contracts, etc.)
- Organizes interviews and schedules testing for the HR Managers (contacts candidates, books rooms, etc.)
- Prepares documents, reports and directly communicates with various government agencies (ex. Bureau de placement) and unions or associations.
- Participates in the onboarding of new employees.
- Processes career development funding requests.
- Prepares various letters and notices (non-medical leaves, retirements, confirmation of employment, etc.)
- Assists in the preparation of various HR lists, reports and documents, as required.
- Updates web pages and employee portal for the HR department.
- Monitors the HR inboxes, screens phone calls and emails; responds to requests for information from internal and external sources.
- Sets up meetings, book rooms, prepare agendas and send notices.
- Provides general administrative support to the HR managers.
- Takes/transcribes minutes, as required.
- Perform other related tasks.
Qualifications:
To have a diploma of vocational studies (DEP) with appropriate specialty or a secondary school diploma (DES) or have a diploma or an attestation of studies which is recognized as equivalent by the competent authority and have at least one (1) year of pertinent experience.
Conditions:
- One (1) year of experience working in a human resources department in a unionized environment;
- Customer service oriented in approach, capable of quickly adapting to changing circumstances and able to adequately handle difficult situations
- Ability to deal with rigid deadlines imposed by other parties
- Ability to maintain confidentiality as it relates to HR
- Advanced oral and written English communication skills (testing may be required)
- Intermediate oral and written French communication skills (testing may be required)
- Intermediate knowledge of Microsoft Word (testing may be required)
- Basic knowledge of Microsoft Excel and Outlook (testing may be required)
- Knowledge of Microsoft SharePoint, an asset
