Description
Project Name: Request for Service (RFS) and Government Reorganization (GR)
Project Services requires a Project Coordinator to manage a "churning" portfolio of Request for Service (RFS) and Government Reorganization (GR) projects for Government of Alberta (GoA)
The projects are:
- generally of short duration and smaller scope
- to implement existing services/already approved GoA solutions that require the coordination of multiple IT teams
- requested by ministries across GoA
This position will:
- Organize immediate setup and reconfiguration of technology services for recent facilities and office relocations, ensuring uninterrupted ministry operations.
- Coordinate and process requests for IT systems and infrastructure, ensuring alignment with ministry requirements and service standards.
- Oversee projects internal to the Ministry of Technology and Innovation
- For GR projects, coordinate the IT changes needed to facilitate a change to department name and/or movement of programs, services and personnel. This may involve changes to user accounts, distribution lists, security groups and shared mailboxes in Active Directory and/or shared network drives, business applications and telecom services.
Scope:
Project Overview The Project Coordinator will be leading a team in the implementation and execution of information technology projects or are responsible for a complex specialized area within IT. Communication with stakeholders and co-workers will be essential in ensuring that project deliverables meet client expectations. The position will use diverse IT expertise to operate independently on assigned work or provide guidance to others.
This role is responsible for the coordination and completion of IT projects and oversees all aspects of projects. It builds and maintains working relationships with team members, vendors, and other departments involved in the projects while preparing project status reports for upper management.
The Project Coordinator is responsible for the planning, managing, and reporting on projects that range from internal branch or divisional based projects to ones that are single ministry or multi-ministry initiated and vary in scope and size. The Project Coordinator will be responsible for a portfolio of projects and will be responsible for ensuring stakeholder governance is effective, efficient, and constructively moving towards the direction of demonstrating value and benefits.

Government Reorganization (GR)
- GR cabinet and ministry changes, name changes
- GR movement of programs, services and personnel
IT teams that might be involved: End User Computing (EUC), Cloud, Servers, Storage, Network, SuperNet, Printer, Video Conferencing, Active Directory, Security Admin, Cybersecurity, etc.
Duties
- Follow provided processes for both RFS and GR projects to speed delivery and ensure consistency and efficiency, but welcome to suggest improvements for the team's review.
- Coordinate the implementation of IT infrastructure.
- Investigate, analyze,
and coordinate the IT changes needed to facilitate a change to department name and/or movement of programs, services and personnel. GR projects involve Microsoft Active Directory and Microsoft file system security in the GoA environment
- Lead consultations and facilitate stakeholder meetings.
- Confirm and/or create business requirements, functional specifications and technical requirements
- Schedule, organize and lead project status meetings and other meetings as required
- Create project documents and associated planning documents
- Provide oversight and coordination to ensure projects are delivered according to specified scope, deliverables, schedule – meeting client expectations while following GoA cybersecurity and other operational standards and processes.
- Provide online status report on all projects, communicate regularly with team members and stakeholders on all projects, and maintain project documentation in the team SharePoint.
- Utilize project management methodology and governance tools to manage resources and stakeholder engagement, ensuring effective project delivery and the achievement of key business objectives.
- Harness AI tools to enhance and empower human capabilities, not replace them, while ensuring ethical and practical AI applications that maintain human control and security and privacy
- Provide tracking and reporting of time and status on all work as required.
- Document technical recommendations and provide technical advice and guidance to management, operations, and project team members and within shared IT services.
- Ensure change management processes are followed.
- Make recommendations to project team members pertaining to issues, risks, and client satisfaction.
- Collaborate with multi-disciplined teams on proof of concept and limited production roll outs.
- Provide quality control on production implementations.
- Communicate operation guidelines and policies to the clients.
- Apply and interpret how the operation guidelines enhance the department's way of doing business.
- Review current services and technology requests by business area and assess their impact on the operational environment, giving recommendations for remediation.
Equipment Requirements:
- It is preferred that resources have their own equipment, though GoA will provide laptop/desktop if necessary.
Resource must provide their own computer and related equipment. The computer's operating system must be a modern version of Windows or MacOS that is compatible with Azure Virtual Desktop (AVD) and related software for remote access. Windows is preferred due to better compatibility. AVD/remote-related software will be installed on the resource's computer.
The Contractor's resources are directed to work remotely. The Contractor shall be responsible for providing all of its equipment, including computers, software, printers, supplies, desks and chairs. However,
the Province shall ensure that the Contractor's resources have the necessary access and credentials to the Government of Alberta's system.
Working Hours
- Standard Hours of work are 08:15 – 16:30 Alberta time, Monday through Friday excluding holidays observed by the Province.
- Work must be done from within Canada, due to network and data security issues.
- It is anticipated the role will be remote, however in the event of an onsite meeting, the GoA does not pay for travel to attend in office meetings, nor any expenses related to relocation, commuting, housing/accommodation, food/drink.
Notes on Location:
- This resource will primarily work remotely.
Incumbency:
- Previously this role was filled by a contractor, however, for this and all other opportunities, the Ministry seeks the best person to fill the role.

- The Supplier shall, prior to commencement of the Services, provide the Province, on its request and at no cost to the Province, with criminal record checks.
Mandatory Training Courses:
- Once hired the resource will be required to complete all mandatory training which includes but not limited to Freedom of Information and Protection of Privacy Act and Security awareness training. There may also be some optional courses as well.
Anticipated Interviews Dates
- Interviews are expected to happen approximately 2 weeks after the posting closes.
