The Role
CCBT is currently seeking a highly motivated Receptionist and Student Administration Co-ordinator with proven experience in office administration and exposure to working with both international and domestic students. This role will be based at our Mississauga Campus and reports to our Chief Executive Officer.
The role is primarily, but not exclusively, focused on servicing the local market through relationship management with internal and external stakeholders. The role is also responsible for handling direct prospective student enquiries, book keeping, report creation and preliminarily assessing and preparing admission documents, including monitoring and administering the Customer Relationship Management Systems (CRMS) as required.
Key Tasks
- Manage reception - Answer telephone, transfer calls, take messages.
- Greet guests, answer initial questions.
- Hand out brochures, accept mail and supply deliveries.
- Print and photocopy materials as requested by instructors.
- Maintain filing rooms.
- Handle guest questions and concerns in a professional manner and with courteously.
- Maintain a clean, safe and well-organized work area.
- Maintain a positive attitude and contribute toward a quality work setting.
- Notify supervisor of any suspicious visitors, or any student conduct that seems to be concerning.
- Prepare different college letters as requested by the students and instructor.
- Assist students and instructors to make phone calls to different organizations.
- Assist the College administrator with arranging First Aid/CPR, Alzheimer Training, Food handling training classes
Qualifications and Experience
Essential:
- Post-Secondary Diploma or Degree. Excellent communication skills with internal and external customers.
- Organized and capable of working in a fast-paced environment.
- Sets calm and organized tone for front desk area and waiting room.
- Skilled in interpersonal relationships with a culturally diverse population. Multitask skills.
- Follow up and reminder phone calls and written correspondence with students.
- Excellent knowledge and skills of MS Office, specifically Word,Excel and Powerpoint.
Desirable:
- Familiarity with Canadian government regulatory requirements related to international education
- Knowledge of IT and related student administration/finance systems
- Customer Relationship Management System (CRMS) understanding (advantage)

- Excellent Customer Service and Communication skills; including a well-developed service focus – inquiries, face-to-face, telephone, and electronic mail are to be attended to politely and effectively
- Productive, accurate, and able to work within specific required timelines
- A genuine self-starter
- Demonstrated problem-solving abilities
- Proven ability to multi-task, prioritise work to deadlines and achieve pre-determined outcomes
