Role Description The Office Administrator is a full-time, on-site role based at Waterdown Optometric Clinic in Waterdown, ON. This role is responsible for managing daily front-desk operations, including greeting patients, answering phones, booking and confirming appointments, and handling patient check-in and check-out.
The Office
Administrator maintains patient records, processes payments and insurance information, and helps coordinate the flow of patients to ensure an productive and positive experience. Additional responsibilities include managing office supplies, supporting the use and upkeep of office equipment,
and assisting the optometrists and clinical staff with administrative tasks as needed.

Qualifications
- Strong Office Administration and Administrative Assistance skills to manage scheduling, records, and day-to-day clinic operations.
- Experience with Office Equipment, including phones, printers, scanners, and practice management or scheduling software.
- Excellent Communication skills for interacting with patients, team members, and external partners in a clear and professional manner.
- Proven Customer Service skills with a patient-focused mindset and the ability to handle inquiries, concerns, and emergencies calmly and respectfully.
- Attention to detail, strong organizational skills, and the ability to multitask in a busy clinical environment.
- Comfort working with basic computer applications (e.g., email, spreadsheets, electronic records) and learning new systems.
- Prior experience in a medical or optometric office is an asset but not required.
- High school diploma or equivalent; post-secondary education in office administration, healthcare, or a related field is an advantage.
