Position Summary

We are looking for an organized, proactive Scheduling & Operations Coordinator to join our Courtenay team.

In this role, you will coordinate countertop templating, fabrication, installation, and service appointments while keeping customers and internal teams informed throughout the process. You will work closely with sales, production, installation, purchasing, and customers to keep projects moving efficiently and ensure an excellent customer experience.

This position is well suited to someone who enjoys solving scheduling challenges, coordinating multiple priorities, and communicating with a variety of people throughout the day.

Job Duties and Responsibilities

- Schedule and coordinate templating, fabrication, installation, and service appointments.
- Manage changing schedules, priorities, and job requirements to support an productive workflow.
- Maintain accurate and up-to-date information in the company scheduling system.
- Communicate appointment details, scheduling changes, delays, and job updates to customers and internal teams.
- Coordinate closely with sales, production, installation, and purchasing to confirm that jobs are ready to proceed.
- Order job-specific materials through the central purchasing department and follow up on availability and delivery timelines.




- Assist with monitoring inventory levels and keeping stock and material records organized.
- Identify potential scheduling conflicts, material shortages, or job delays and communicate them proactively.
- Follow up with customers after installation to obtain feedback, confirm receipt of invoices, and assist with payment follow-up.
- Maintain accurate customer, job, scheduling, and communication records.
- Provide professional and responsive customer service throughout the project.
- Follow company policies, procedures, and safety requirements.
- Contribute to the team and complete other duties as required or assigned.

Qualifications and Skills

- At least two years of experience in scheduling, dispatch, project coordination, production coordination, construction administration, or a similar role.
- Experience in construction, manufacturing, installation, trades, or another deadline-driven environment is an asset.
- Strong organizational, prioritization, and time-management skills.
- Ability to coordinate multiple jobs, appointments, and changing priorities.
- Excellent verbal and written communication skills.
- Strong attention to detail and commitment to maintaining accurate records.
- Confident and professional when communicating with customers, installers, suppliers, and internal teams.
- Ability to remain calm, adaptable,



and solutions-focused when schedules change.
- Proficiency with Microsoft Office and the ability to learn new systems quickly.
- Experience with Epicor or similar ERP, scheduling, or industry-specific software is an asset.
- Reliable, positive, and comfortable working both independently and as part of a team.

- Customers and internal teams receive timely, clear updates.
- Materials are ordered and available when required.
- Scheduling conflicts and delays are identified and addressed early.
- Job information and records remain accurate and current.

Pay: $23.00-$26.00 per hour
