Position Summary
Bow Valley College is seeking a dynamic and relationship-focused Student Recruitment Specialist to join our team. Reporting to the Manager, the Student Recruitment Specialist is responsible for planning and executing portfolio-driven recruitment strategies and activities that support the goals of the College’s Marketing and Recruitment Plan. The position plays an important role in attracting a demographically diverse group of domestic learners to Bow Valley College by building relationships with prospective students, schools, community organizations, agencies, businesses, and other key stakeholders.
The successful candidate will be an enthusiastic ambassador for the College, delivering engaging recruitment presentations, representing Bow Valley College at a wide variety of events, providing individualized advising, and collaborating with internal and external partners to support student recruitment and enrolment goals. This position involves frequent travel within and outside of Calgary and may require occasional evening and weekend work.
Student Recruitment and Liaison: The Student Recruitment Specialist promotes Bow Valley College to prospective high school, adult, non-traditional, internal transfer, and other learners, as well as industry, agency, community, and high school professionals within an assigned portfolio. The position delivers presentations, participates in information booths, attends recruitment and community events, and develops opportunities to engage prospective learners and key stakeholders. The Specialist collects and maintains prospective student and stakeholder contact information to support ongoing relationship building, follow-up, and targeted marketing communications.
The position develops and maintains effective relationships with high schools, newcomer-serving organizations, community and employment agencies, other post-secondary institutions, businesses, and other relevant organizations. Working collaboratively with internal schools, departments, and programs, the Specialist develops a strong understanding of Bow Valley College’s programs, courses, admission requirements, pathways, and services in order to serve as a knowledgeable and effective brand ambassador. The position also contributes to the development of print, electronic, and other recruitment materials, including viewbooks, brochures, handbills, posters, presentations, and other collateral,
and consults with internal and external stakeholders to coordinate activities that support the College’s Marketing and Recruitment Plan.
Advising: The Student Recruitment Specialist provides prospective students and key stakeholders with accurate, timely, and personalized information about Bow Valley College programs, courses, admission requirements, program delivery options, application processes, important dates, deadlines, and educational pathways. The Specialist meets with prospective students individually or in small groups, both on and off campus, to understand their academic and career goals and provide guidance on options for achieving those goals. The position accesses career and labour market information, websites, and other relevant resources to assist prospective learners in making informed decisions about program and career choices.
The Specialist utilizes the College’s Student Information System (SIS) and CRM to understand applicant and student information, determine appropriate next steps, and support applicants, current students, and former students throughout their interactions with the College. The position also provides guidance on internal processes and refers students to appropriate Bow Valley College departments and services when additional support is required to facilitate application completion and student success.
Event Management: The Student Recruitment Specialist develops and delivers recruitment events tailored to the needs of College schools, departments, programs, and defined recruitment strategies. As assigned by the Manager, the Specialist leads the planning and execution of events, establishing objectives and performance indicators, developing event plans and timelines, facilitating planning meetings, coordinating event activities, conducting post-event evaluations and debriefs, and preparing final reports. The position develops and monitors event budgets and coordinates event promotion through registration materials, stakeholder communications, newsletters, the Bow Valley College website, advertising, email campaigns, and other promotional collateral.
The Specialist develops and facilitates specialized campus tours for prospective students and their guests, high school groups, agencies, and community organizations and provides additional support for major seasonal recruitment activities such as
Open Houses and New Student Orientation. The position ensures all logistical components of events are effectively coordinated, including room bookings, catering, event supplies, vendors, shipping, printing, purchasing, IT services, volunteers, guest speakers, VIP guests, and participating College departments and service areas. The Specialist also manages event registration and pre- and post-event communications with participants and coordinates the completion and submission of post-event debriefs and reports.
Recruitment Strategy, Planning, and Evaluation: Working closely with the Manager, the Student Recruitment Specialist researches and identifies current and emerging market opportunities, recruitment trends, and best practices that may contribute to growth in prospective student recruitment. The position provides information, insights,
and feedback to support the development and ongoing refinement of the College’s Marketing and Recruitment Plan. Within an assigned portfolio, the Specialist develops, coordinates, and executes recruitment strategies and activities aligned with institutional priorities and recruitment objectives.
The position gathers, analyzes, and evaluates qualitative and quantitative information to assess the effectiveness of recruitment plans and activities, identify opportunities for improvement, and report on portfolio results in alignment with the College’s Marketing and Recruitment Plan.
The ideal candidate is an engaging communicator and relationship builder who can confidently represent Bow Valley College in diverse environments and connect with prospective learners and community partners. They bring strong organizational and event-planning skills, sound judgment, attention to detail, and the ability to manage multiple priorities and deadlines. The successful candidate demonstrates a collaborative approach, is comfortable working independently in the community, and can adapt recruitment strategies and communication approaches to meet the needs of diverse audiences.
Experience in student recruitment, post-secondary education, sales, marketing, advising, community engagement, or a related workplace, along with strong presentation and interpersonal skills, will be considered valuable assets. A valid driver’s license and the ability to travel frequently within and outside Calgary are required for this role, along with flexibility to participate in occasional evening and weekend events.
Minimum Qualifications
- Bachelor’s degree
- 2 years’ work experience in an educational environment dealing with a diverse clientele
- Flexibility with work hours based on operational activities
- Valid Alberta driver’s license and unrestricted ability to rent from an auto rental company
- Ability to travel
- Police information check including a vulnerable sector
- An equivalent combination of directly related education and experience may be considered
Preferred Qualifications
- Experience in recruitment or administrative work related to the position assignment, or an equivalent combination of education and experience
- Knowledge of Bow Valley College program and course offerings
- Knowledge of student funding process
- Strong working knowledge of business productivity software, ideally Microsoft Office.
- A familiarity with business database systems, ideally prior experience with a student (or customer) information system
