Position Title: Contracts Specialist

Duration: 12-Month Contract (possible to be extended)

Location: Fort Saskatchewan, AB

Work Arrangement: In office Work Schedule: Monday to Friday, 40 hours per week. During Turnaround (TA) periods, extended work schedules may be required to support increased contractor onboarding and LEM submission volumes. This may include up to 10-hour days Monday through Friday, with rotational weekend coverage of approximately 4 hours per day.

Position Overview

Airswift is seeking a detail-oriented and experienced Contracts Specialist (LEMs) to join a major Oil and Gas client in Fort Saskatchewan, AB, on a 1-year contract with the possibility of extension. This position is responsible for reviewing contractor LEM submissions for accuracy and completeness, validating supporting data, maintaining compliance records, and uploading approved information into SAP.

The successful candidate will work as part of the company's LEM team and collaborate closely with Supply Chain, Operations, Maintenance, contractors, and other site stakeholders to ensure compliance requirements are met. This role requires a highly organized individual who can quickly integrate into an established team environment, manage large volumes of data, and contribute immediately with minimal onboarding and supervision.

Key Responsibilities

· Review contractor-submitted LEM documentation to ensure completeness, accuracy, and compliance with established requirements.

· Validate contractor LEM data and supporting records prior to SAP entry.

· Upload, maintain, and update contractor LEM records in SAP.

· Extract, analyze, reconcile, and validate SAP data to support attestation activities.

· Maintain Excel-based trackers and databases used to manage attestation status, completion metrics,



and reporting requirements.

· Monitor contractor compliance and proactively follow up on outstanding submissions and actions.

· Utilize Power BI dashboards and reports to validate contractor Lenel access and time-swipe data.

· Investigate and resolve discrepancies between Lenel access records, contractor submissions, and SAP records.

· Perform data cleansing, validation, and quality assurance activities to ensure data integrity.

· Prepare routine reports, compliance metrics, and status updates for management.

· Maintain organized documentation to support audit and compliance requirements.

· Collaborate with contractors and cross-functional stakeholders, including Supply Chain, Operations, Maintenance, and site leadership.

· Support continuous improvement opportunities related to tracking, reporting, and attestation processes.

· Perform other duties and provide support for SCM initiatives and projects as assigned by the SCM Supervisor.

Required Qualifications

· Minimum 3-5 years of experience in contractor administration, compliance, data management, business support, Supply Chain, or a related field.

· Proven experience supporting the execution and administration of contractor LEM (Labor, Equipment and Material) attestation activities.

· Strong working knowledge of SAP, including data entry, validation, reporting, and record management.





· Advanced proficiency in Microsoft Excel, including:

o Data Validation

o Data Reconciliation

o Reporting and Analysis

· Experience working with large datasets and performing detailed data validation.

· Strong analytical and problem-solving skills.

· Exceptional attention to detail and commitment to data accuracy.

· Strong organizational and time management skills.

· Effective written and verbal communication skills.

· Ability to work independently with minimal supervision.

· Ability to work on-site.

Preferred Qualifications

· Experience supporting compliance, attestation, audit, governance, or contractor management processes.

· Experience in petrochemical, energy, refining, manufacturing, or industrial environments.

· Supply Chain Management experience.

· Familiarity with Microsoft Power BI dashboards and reporting tools.

· Experience validating workforce access, attendance, or Lenel badge swipe data.

· Deliver accurate, timely reporting and maintain a high standard of data integrity.

· Reduce administrative workload on the SCM team while ensuring compliance objectives and project deadlines are achieved.
