Position Summary The Administrative Assistant provides administrative, clerical, scheduling, records, and office support to ensure the efficient daily operation of the department. The position supports communication, filing, meeting coordination, document preparation, data entry, reception support, and general office processes while maintaining confidentiality and professionalism.

Key Responsibilities

- Provide general administrative and clerical support to the department

- Answer phones, respond to inquiries, greet visitors, and direct requests as required

- Schedule meetings, prepare agendas, take meeting notes, and track follow up items

- Prepare, format, scan, file, and organize documents, forms, letters, reports, and records

- Maintain calendars, contact lists, filing systems, spreadsheets, and office records

- Assist with data entry, correspondence, purchase requests, travel arrangements, and supply orders

- Support internal communication between staff, managers, community members, and external contacts

- Assist with event, meeting, and office coordination as required

- Maintain confidentiality of personnel, financial, community, and departmental information

- Follow office procedures, records management practices, and organizational policies

- Perform other related duties as assigned

Education &

Experience Requirements

- Grade 12 or equivalent required

- Certificate, diploma, coursework, or training in Office Administration, Business Administration, Public Administration,



or a related field considered an asset

- Minimum 1 to 3 years experience in administration, reception, clerical support, records management, or office coordination preferred

- Experience working in a First Nation, municipal, public sector, or community based organization considered an asset

- Experience using Microsoft Office, email, calendars, spreadsheets, filing systems, and office equipment required

- Experience preparing correspondence, taking meeting notes, maintaining records, or supporting reports considered an asset

- Valid Class 5 Driver’s License considered an asset

- Criminal Record Check may be required

- Ability to provide respectful and professional service to staff, community members, and external contacts

- Ability to maintain confidentiality and handle sensitive information appropriately

- Ability to manage multiple tasks, deadlines, and interruptions

- Strong computer skills including Microsoft Office, email, calendars, and spreadsheets

- Ability to work independently while supporting a team environment

Working Conditions

- Primarily office, reception, records, and computer based work

- Frequent interaction with staff, community members, visitors, vendors, and external contacts

- Extended periods of sitting, computer work, filing, scanning, and document preparation required

- Occasional lifting or carrying of files, supplies, meeting materials, or office equipment may be required

- Occasional evening or weekend work may be required for meetings, events, or urgent administrative needs

- May be required to travel between offices, departments, or community locations

Pay: $27.00-$30.00 per hour
