Your Opportunity

Reporting to the Manager, Operations Support within CPSM (Contracting, Procurement and Supply Management), the Contract Administrator plays a key role in supporting healthcare procurement and contracting operations across Alberta. This position oversees the management of user access and account information within procurement systems. This includes maintaining corporately held procurement accounts, supporting external customer account setup, and administering access to Oracle and other supply chain systems.

Working within a collaborative team environment, the position is responsible for administering contract lifecycle processes, maintaining contract data integrity, supporting procurement activities, and ensuring compliance with organizational policies, legislation, and trade agreement requirements.

Key responsibilities include managing and maintaining contract records within the Contract Lifecycle Management (CLM) system, reviewing contract documentation for accuracy and completeness, supporting audit and compliance activities, and providing guidance on records management practices. The role coordinates the exchange of contract documentation with internal and external stakeholders, facilitates electronic contract execution through DocuSign, and ensures timely communication throughout the contracting process.

The Contract

Administrator also administers and posts procurement opportunities through the Alberta Purchasing Connection (APC) and provides administrative and technical support related to contracting and procurement processes. Additional responsibilities include developing and maintaining standard operating procedures, supporting reporting and workflow tracking through ServiceNow, delivering user training, and assisting with access administration across financial and supply chain systems to ensure efficient and compliant operations.

Required Qualifications

Completion of post-secondary education (e.g. certificate in office or business administration).

Additional Required Qualifications

Diploma or certificate in Business Administration, Office Administration, Records Management, Supply Chain, or a related field; equivalent experience may be considered.

Experience working with contract administration, records management, procurement, or document management systems. Demonstrated experience maintaining accurate records and data in electronic systems. Ability to interpret and apply policies, procedures, and governance requirements. Solid organizational skills with the ability to manage competing priorities and meet deadlines. Excellent written and verbal communication skills.

Experience providing customer service and support to multiple stakeholder groups. Proficiency with Microsoft Office applications, including Excel, Word, Outlook, and Teams. Demonstrated attention to detail and commitment to data quality and accuracy.

Preferred Qualifications

Experience with Contract Lifecycle Management (CLM), DocuSign, Alberta Purchasing Connection (APC), Oracle, Grand & Toy account maintenance, Amazon account maintenance or ServiceNow.

Experience supporting procurement, contracting, or supply chain operations. Knowledge of Delegation. of Financial Authority (DOAA) requirements and records management best practices.

Experience developing process documentation or standard operating procedures (SOPs).
