WeServe&File; is a growing legal operations and process-serving company supporting law firms, corporations, and legal teams across Canada and the United States. We are looking for a reliable and detail-oriented Bookkeeper / Accounting Administrator to take ownership of our day-to-day bookkeeping and accounting administration. This is an ideal opportunity for someone who enjoys keeping financial records organized, following processes, identifying discrepancies, and making sure things are completed accurately and on time.
About the Role The Bookkeeper / Accounting Administrator will be responsible for maintaining accurate day-to-day financial records and supporting the company's accounting operations. You will work closely with our Operations and Management teams and will be responsible for keeping our books current, organized, and ready for month-end and year-end reporting.
Key Responsibilities
- Maintain accurate and up-to-date bookkeeping records
- Record and categorize company transactions and expenses
- Reconcile bank and credit card accounts
- Manage accounts payable and accounts receivable
- Prepare and send invoices and follow up on outstanding receivables
- Record and track vendor payments and expenses
- Review transactions for accuracy and identify discrepancies
- Maintain organized financial documentation and supporting records
- Assist with payroll-related accounting and reconciliations
- Prepare monthly financial reports, including profit and loss and balance sheet reports
- Assist with month-end and year-end closing procedures
- Maintain accurate records for tax and year-end preparation
- Provide management with basic financial information and reporting when required
- Handle confidential financial information with a high degree of discretion
- Perform other accounting and administrative duties as required
What We're Looking For
- 2+ years of bookkeeping or accounting experience
- Experience with Canadian bookkeeping
- Strong understanding of accounts payable, accounts receivable, reconciliations, and financial reporting
- Experience with QuickBooks Online or similar accounting software
- Strong Excel skills
- Excellent attention to detail
- Robust organizational and time-management skills
- Ability to work independently and manage deadlines
- Strong written and verbal communication skills
- Comfortable working with confidential financial information
- Ability to identify errors and discrepancies rather than simply entering information
Nice to Have
- Experience preparing books for year-end accountant review
- Experience with HST/GST
- Experience working with professional services, legal, or service-based businesses
- QuickBooks Online certification
- Experience with CRMs
- Experience working in a small or growing business is an asset
What Success Looks Like
Within the first few months, you will have a strong understanding of our financial processes and will be able to independently maintain our books, complete reconciliations, keep accounts payable and receivable organized, and ensure management has accurate financial information. We are looking for someone who will take ownership of the bookkeeping function rather than simply completing data-entry tasks.
This is a full-time position with the opportunity to grow with the company as the role and responsibilities develop.
