REPORTS TO: Executive Director
Position Summary The Community Initiatives Fund (CIF) Communications and Administration Coordinator is responsible for coordinating the organization’s communications, as well as providing administrative and grant program support.
As a member of a small but dynamic staff team, the Coordinator works closely with the Executive Director, Program Manager and Grants Coordinator to support the effective day-to-day operations of CIF and the delivery of its programs and initiatives. The Coordinator plays a key role in ensuring that CIF’s communications are strategic, timely and engaging; that administrative, Board and meeting activities are well organized; that organizational information, systems and resources are current and accessible; and that grant programs are delivered efficiently.
The CIF also serves as the host partner for the Saskatchewan Nonprofit Partnership (SNP) and SaskWellbeing (SW), with the Coordinator providing communications, administrative and project support to these initiatives as required.
Position Responsibilities
Communications
- Develop, implement and evaluate communications plans and strategies for CIF, SNP and SW, ensuring alignment with their respective mandates and strategic priorities.
- Manage and maintain the CIF, SNP and SW websites, including updating and creating content, maintaining resources and documents, and ensuring information is current, accurate, accessible and relevant.
- Manage social media accounts for CIF, SNP and SW, including developing, designing, scheduling and publishing content, monitoring engagement, and maintaining consistent and appropriate messaging.
- Develop, write and design a variety of communications and promotional materials, including social media content, website content, media releases, advertisements, infographics and other materials as required.
- Maintain and apply CIF, SNP and SW branding and visual identity standards across digital platforms, communications materials, documents and promotional resources.
- Monitor and evaluate communications activities using website, social media and other analytics tools. Prepare reports and recommendations to assess effectiveness and identify opportunities for improving communications tools, technologies and strategies.
- Coordinate the development, review and dissemination of communications materials, program guidelines and resources, and other knowledge products to ensure information remains accurate, current and consistent.
- Draft and coordinate media releases and support media relations activities as required.
- Coordinate the collection of stories, photographs, testimonials and other content, including obtaining appropriate permissions and ensuring materials are organized and available for use.
- Support CIF grant recipients with recognition requirements and provide guidance and resources related to CIF branding and recognition.
- Develop and distribute surveys and other feedback tools and assist with the collection, analysis and reporting of results.
- Assist with research, information gathering and the identification of relevant resources, sector information, opportunities and events for sharing with CIF, SNP and SW audiences.
- Support the planning, coordination, delivery and documentation of webinars, presentations, events, research projects, surveys and other organizational initiatives as required.
- Assist the Executive Director and staff with the preparation of reports, presentations, information materials and other products as required.
- Coordinate the design, development and purchase of promotional materials and support participation in conferences, trade shows and other promotional opportunities as required.
- Ensure communications activities and materials support CIF’s strategic priorities and contribute to awareness and understanding of its programs, funding opportunities and impact.
Administration
- Oversee CIF’s corporate office including processing payables, mail, filing, responding to general inquiries and requests for information, maintaining equipment and supplies, etc.
- Coordination of CIF Board and committee meetings including scheduling, preparation and dissemination of materials, attendance and minute taking, booking meeting venues and other logistics as required.
- Contribute to the development and implementation of annual strategic and operations plans.
- Manage accounts and memberships for CIF, SNP and SW, ensuring timely renewals as required.
- Liaise with CIF’s managed desktop provider as required.
- Assist with recognition of CIF Board and committee volunteers.
Grant Program Support
- Develop and maintain knowledge of CIF grant programs, policies, procedures and systems.
- Provide general support to grant applicants and recipients, responding to routine inquiries and directing questions to the appropriate staff person.
- Provide back-up support to the Grants Coordinator as required, including during periods of increased workload, vacation or other staff absences.
- Assist with other grant administration and program support activities as required that may include grant portal registrations; application and reporting processes; data entry and document preparation; maintaining grant records; and payment processing.
- Assist with communications and administrative activities related to grant deadlines, notifications, applicant requirements and grant recipient follow-up.
The Person
Qualifications
- Experience providing leadership in a communications role, including development, implementation and evaluation of communications strategies.
- Experience developing and managing websites, electronic communications, and social media networks including Facebook, Instagram, MailChimp.
- Experience with technology (hardware and software), fluent in Microsoft Office, website platforms (WordPress), Zoom, SurveyMonkey, etc.
- Experience working with web analytics and reporting tools (Google Analytics, Facebook Insights, etc.).
- Experience creating reports and infographics with effective visualizations, utilizing design programs (Canva, Adobe Creative Suite) to effectively communicate data and information.
- Knowledge of and experience with research and evaluation methodologies an asset.
- Post-secondary education and/or experience in a related field.
- Demonstrated ability to develop and maintain positive stakeholder relationships with a broad range of audiences.
- Excellent written, verbal and interpersonal skills.
- Experience coordinating meetings and events.
- Knowledge of community-based organizations and the nonprofit sector.
- Experience supporting volunteers and Boards of Directors.
- Ability to work independently and as part of a team.

Employment Details
Hours of Work
- This is a full-time position based on 37.5 hours per week.
- Flexibility in work hours and evening or weekend availability may occasionally be required at different times of the year.
Work Location
- The CIF office is located in downtown Regina, SK.
- Staff are currently working 3 days per week in the office and 2 days per week remotely, subject to work requirements and allowing for individual flexibility.
- Availability to travel is required occasionally.

Salary Range
