About the Role
We are looking for a highly organized, detail-oriented engineering graduate to work closely with our CEO and coordinate significant technical and operational initiatives across the company.
This is not a traditional Executive Assistant role. It is an entry-level engineering coordination and leadership-development position for someone who wants to learn how a complex technology company is built and eventually take responsibility for major programs, teams and business operations.
The CEO works across engineering, science, manufacturing, sales, facilities, customers and company strategy. You will help turn fast-moving conversations and ideas into clear project plans, assigned tasks, deadlines and completed results.
You will attend meetings with the CEO, capture decisions, coordinate follow-up, monitor technical projects and ensure important commitments do not fall through the cracks. The role will include some scheduling, meeting preparation, documentation and administrative coordination, but its primary purpose is execution—not traditional administrative support.
The successful candidate could grow from Engineering Operations Coordinator into a Technical Program Manager, Chief of Staff, Head of Operations or an operating-company leadership position.
ResponsibilitiesWork Directly With the CEO
- Attend technical, operational and planning meetings with the CEO
- Capture ideas, decisions, commitments and priorities
- Convert conversations into organized action plans, tasks, owners and deadlines
- Prepare concise meeting agendas, briefing notes and progress summaries
- Draft emails, instructions, internal communications and follow-up documents
- Maintain an accurate list of the CEO’s highest-priority initiatives
- Ensure decisions are communicated to the correct team members
- Follow up persistently until assigned work is completed
- Organize meetings and scheduling related to projects, customers and company priorities
- Protect the CEO’s time by organizing information and resolving routine issues independently
Engineering Project Coordination
- Coordinate projects involving mechanical engineering, physics, software, biology, chemistry, testing and manufacturing
- Break technical objectives into milestones, tasks and weekly deliverables
- Maintain project schedules, action lists and engineering documentation
- Organize design reviews, testing meetings and project check-ins
- Track prototypes, parts, purchasing requests, supplier commitments and equipment
- Ensure technical results, test data and engineering decisions are properly documented
- Coordinate activities between engineering, laboratory, software and manufacturing teams
- Identify missing information, unclear ownership, technical risks and schedule delays
- Escalate problems early and recommend practical next steps
- Support projects from early concept through prototyping, validation and production
Accountability and Follow-Through
- Run short progress check-ins with project owners
- Track what was promised, what was completed and what remains blocked
- Ensure every important task has a clear owner and deadline
- Prepare daily and weekly progress summaries for the CEO
- Follow up with team members without waiting to be reminded
- Identify incomplete work, inconsistencies and overlooked details
- Help teams maintain momentum across multiple simultaneous projects
- Verify that completed work meets the original requirement
Business Operations As you gain experience, you may also:
- Coordinate customer pilots, product demonstrations and technical deliverables
- Support hiring, onboarding, procurement and facilities projects
- Build dashboards for company priorities, deadlines, risks and performance
- Improve internal processes and operating systems
- Help allocate people and resources across competing programs
- Lead cross-functional projects independently
- Support operational planning and company-level decision-making
- Take responsibility for increasingly important parts of the organization
Mandatory Education Requirement Applicants must hold a bachelor’s degree in engineering from a recognized university. Applications from candidates without an engineering degree will not be considered.

Recent engineering graduates are encouraged to apply. A P.Eng. designation is not required. What We Are Looking For The ideal candidate is:

- Calm when priorities change or several urgent issues arise simultaneously
- Receptive to direct feedback and able to correct mistakes quickly
- Willing to handle both high-level projects and small practical tasks
- Motivated by responsibility, learning and long-term career growth
- Interested in developing beyond engineering into operations and company leadership
- Trustworthy and discreet when handling confidential information
Experience This is an entry-level position. Approximately zero to three years of skilled experience is appropriate.
Experience gained through co-op placements, internships, capstone projects, engineering teams, research laboratories, manufacturing environments or student leadership will be considered.
Experience with spreadsheets, project-management tools, engineering documentation, testing or manufacturing is an asset.

Career Development This position is intended for someone who wants to grow into a major operating role:
Engineering Operations Coordinator → Technical Program Manager → Chief of Staff or Senior Operations Manager → Head of Operations or Operating Company Lead
