Governance Assistant The Governance Assistant reports to the Manager, Corporate Governance and is responsible for providing administrative support within the Governance department and as needed to other executive level functions. This role assists with a broad range of activities including document and records management, supporting our Board of Directors, compliance administration, regulatory and sector monitoring, meeting and event logistics and general research assistance.
In summary, the Governance Assistant will:
- Provide administrative support to the Governance departments, including preparing correspondence, reports, presentations, spreadsheets, and other documents;
- Assist with Board of Directors communications and help prepare and organize Board and Committee meeting materials;
- Update and maintain Compliance and Governance tracking systems, logs, and databases; help prepare supporting documentation for reports and policies;
- Track various deadlines and assist with follow-up communications;
- Maintain departmental filing systems, corporate records, and databases; assist with records retention activities;
- Track Director training registrations and course completion records; assist with the scheduling and administration of Director education program;
- Help arrange travel, accommodations, registrations, and itineraries for Directors and governance-related events; assist with the planning and organization of meetings, conferences, and corporate events;
- Format and update policies and procedures; conduct research on governance, compliance, regulatory, and industry topics as assigned, and compile summary reports for management review;
- Maintain trademark records and track renewal dates; monitor and compile sector news, regulatory updates, and industry information for management review;
- Track sector and WFCU feedback on provincial and federal topics; and
- Any other duties as assigned.
The “must-have” skills and qualifications that we’re looking for are:
- Excellent attention to detail and strong organizational skills;
- Ability to work within tight timelines in a rapid-paced environment with a high level of professionalism;
- Ability to work both independently and as part of a collaborative team;
- Excellent written and oral communication skills;
- High level of discretion and integrity in handling sensitive and/or confidential information;
- Proficiency in Microsoft Office Suite; and
- A degree or diploma in Business Administration, Office Administration, or a related field.
These additional skills are considered assets too:
- One to three years of prior experience in administration;
- Experience working with a Board of Directors or in a regulated financial services environment; and/or
- Familiarity with compliance tracking, regulatory reporting, or governance processes.
