As we continue to grow, we are seeking an experienced Real Estate Paralegal to join our Vancouver team. This position offers an opportunity to work on a variety of commercial and real estate, and some corporate matters in a collaborative and growing law firm.
The Role:
We are looking for a highly organized and motivated Paralegal to support our legal team in Vancouver. The ideal candidate will be a professional, proactive team player with excellent administrative skills and a strong interest in the legal field. You will assist in various legal tasks, including managing transactions, preparing legal documents, assisting with closings, coordinating meetings, and providing support to lawyers in their day-to-day practice.
The Work:
1. Real Estate Transactions:
· Manage real estate purchase, sale, refinance, mortgage, and other conveyancing files from opening through completion
· Review purchase and sale agreements and identify key dates, conditions, and closing requirements
· Coordinate with clients, lenders, realtors, opposing counsel, financial institutions, and other parties involved in transactions
· Prepare and organize closing documents, including statements of adjustments, direction documents, undertakings, and other transaction documentation
· Coordinate execution and delivery of legal documents
· Prepare files for completion and closing and ensure all required documents and information are received
· Assist lawyers with commercial real estate transactions, including acquisitions, dispositions, leasing, and development matters as required
2. Land Title and Due Diligence:
· Conduct and review Land Title searches, title documents, plans, charges, and other registered interests
· Prepare and submit Land Title Office applications and filings through LTSA
· Order and review title searches, state of title certificates, plans, and other property-related documents
· Assist with title review and identify issues for lawyer review
· Conduct corporate and property searches as required
· Assist with due diligence for real estate acquisitions and development transactions
· Maintain accurate records of title and registration information
3. File & Document Management
· Open, organize, and maintain real estate files in accordance with firm procedures
· Maintain accurate records of key dates, deadlines, undertakings, and closing requirements
· Prepare correspondence and transaction documents for lawyer review
· Organize electronic and physical closing files
· Ensure documents are properly saved and maintained in the firm's document management system
· Maintain checklists and transaction tracking systems to ensure files remain on schedule
4. Client & Transaction Communication
· Communicate directly with clients regarding routine transaction matters and document requirements
· Request and organize information and documentation required to complete transactions
· Communicate with lenders, realtors, opposing counsel, Indigenous governments, financial institutions, and other stakeholders
· Provide regular updates to lawyers regarding file status, outstanding items, and upcoming deadlines
· Provide professional and responsive client service while maintaining confidentiality
5. Closing & Post-Closing
· Coordinate closing requirements and ensure all conditions are satisfied before closing
· Prepare closing agendas and checklists
· Coordinate funds, documents, undertakings, and registration requirements with the lawyer and other parties
· Assist with registration and confirmation of completed transactions
· Prepare reporting letters and closing packages
· Complete post-closing file organization and ensure all required documents are properly filed
· Follow up on outstanding post-closing matters and undertakings
6. Administrative & Billing Support
· Track deadlines and maintain accurate file records
· Assist with time entry, billing, and file-related administrative tasks
· Prepare and maintain transaction reports and tracking spreadsheets
· Coordinate with the Operations Manager and accounting team regarding trust deposits, disbursements, and other file-related matters
· Perform other administrative and paralegal duties as required
Qualifications
· Legal Assistant or Paralegal certificate or diploma from a recognized Canadian program
· Two or more years of experience working as a real estate paralegal or legal assistant in a BC law firm
· Robust experience with BC residential and/or commercial real estate transactions
· Experience with LTSA and Land Title Office filings
· Familiarity with title searches, state of title certificates, plans, charges, and registrations
· Experience preparing conveyancing and closing documentation
· Strong understanding of real estate transaction processes, deadlines, and closing requirements
· Excellent organizational and time-management skills with the ability to manage multiple files and competing deadlines
· Strong written and verbal communication skills
· High attention to detail and accuracy
· Ability to work independently and take ownership of files while knowing when to seek lawyer guidance
· Proficiency with Microsoft Office, particularly Word, Excel, and Outlook
· Experience with Clio and NetDocuments or similar legal practice management and document management systems is an asset
· Experience with commercial real estate, Indigenous land matters, development, or corporate transactions is an asset
· Knowledge or interest in Indigenous law and business law is an asset
· Ability to maintain confidentiality and handle sensitive client information with discretion
· Positive, collaborative attitude and willingness to contribute to a growing team
Compensation:
· $60,000–$85,000 salary, depending on experience and qualifications
· Health Insurance
· 3 weeks paid vacation
