Position Profile:
The Parts & Service Advisor is responsible for customer relations, scheduling repair appointments, recording the condition of vehicles and completing write ups indicating the type of work needed. The role also ships and receives parts, and provides parts information to internal and external customers.
This is a highly administrative role, which requires strong computer skills and organization. Knowledge of or experience with automotive or large trucks will be a strong asset.
Responsibilities:
- Schedule work into the shop through telephone and direct customer contact, record the condition of the vehicle, and complete a write up indicating the type of work needed, in cooperation with the Manager.
- Interact with customers as needed on a day-to-day basis; this includes providing customers with updates on the status of their work and dealing with customer complaints as they arise.
- Review warranty and insurance claim status prior to creation of repair order.
- Review parts that are ordered in and coordinate with the Manager to schedule the installation work.
- Review and close repair orders daily.
- Post cash sales and process invoices.
- Check for recalls and determine the appropriate payment type.
- Support the preparation and processing of warranty or insurance claim documentation in cooperation with the Manager.
- Follow up with customers on any purchase order/invoice/documentation issues.
- Complete and process parts documentation including: preparing invoicing, following and tracking orders, shipping and receiving, entering purchase and work orders.
- This role supports a variety of functions within the shop; other duties may be assigned as required.
Requirements:
- Some post-secondary education is preferred, but equivalent relevant experience will also be considered.
- At least one year of similar experience. Experience in the automotive or heavy-duty truck industry is preferred.
- Strong customer service skills, with the ability to effectively address and resolve customer concerns related to service or parts.
- The ability to deal professionally and tactfully with supervisors, co-workers, customers, and vendors, including in high-pressure situations.
- Robust problem-solving and analytical skills; eagerness to learn new processes and systems.
- Excellent attention to detail and time management skills, with a proactive approach to work.
- Strong computer skills, including the ability to learn and use in-house programs. Proficiency in Microsoft Excel is required.
- Fluent English-language listening and verbal communication skill.
