Job Overview The Project Coordinator supports the delivery of medical communications projects, helping to ensure work is completed on time and within budget. Working closely with cross-functional teams, they assist in translating project requirements into actionable plans and support day-to-day execution.
Responsibilities This role focuses on coordinating timelines, tracking deliverables, and maintaining clear communication across teams. The PC builds strong organizational skills, develops an understanding of project workflows, and contributes to a smooth and consistent team and client experience. Responsibilities:
- Take a lead role in scheduling meetings, tracking tasks, and maintaining project documentation.
- With supervision, lead day-to-day project operations, ensuring timelines, budgets, resourcing, and deliverables are up to date.
- Serve as a primary point of contact on project while ensuring communication between internal teams and clients to facilitate smooth workflow.
- Draft the creation of briefs and Statements of Work
- Proactively understand client business objectives,
project objectives and content to be able to flag potential issues with regulatory or technical barriers.
- Maintain project files, templates, and reporting tools to support efficient project management.
- Prioritize project deliverables & assignments through effective communication with all stakeholders.
- Assign tasks and responsibilities to multidisciplinary production teams, including UX, Graphic Design, Animation, Software Development, and Quality Assurance
- Manage project resourcing, collaborating with senior team members to address changes and pivots in project requirements
- In collaboration with account team, manage changes in project scope, identify potential risks, devise contingency plans and communicate to clients.
- Lead postmortem meetings to gather key learnings after project completion and recommend improvements.
- Identify opportunities for process development and enhancement to improve project efficiency.
- Monitor financials, status updates, and key insights.
Education
- Bachelor’s Degree (business, marketing, or sciences)
Experience
- 2+ years of relevant digital, account, project management and/or healthcare experience in an interactive agency
Skills & Abilities
- You’re a specialist who takes a structured approach to their work ensuring that projects are delivered on time and to scope.
- You understand the balance between client wishes and company interests.
- You are able to communicate openly and respectfully with both your client and your colleagues.
- Proven success in the strategy, planning,
and implementation of client facing digital projects
- University degree, preferably in Business or Science, or equivalent experience
- Excellent people, conflict resolution skills, and client service attitude, leading to a proven ability to negotiate a positive outcome for all parties
- A hands-on background in web or mobile development processes and platforms – experience managing HTML5, Flash, iOS and Android projects is a plus
- A track record of delivering multiple projects on time and on budget and managing competing priorities while maintaining client and team relationships
- Knowledge of project management tools, best practices and processes
- Excellent communication skills, both verbal and written
- Outstanding meeting and time management skills
- Ability to quickly adapt to and learn current technologies and environments
- Pharmaceutical industry and healthcare knowledge an asset
- Detail oriented with excellent organizational skills
- Experience working with project management software, including MS Project, Basecamp or Redmine
- Fully proficient in Microsoft Office, including Word, Excel and PowerPoint
The expected compensation for this role is $52,000 to $68,000 CAN. Compensation will be determined based on an applicant’s skills, competencies, experience, and qualifications. Employees may progress within this range over time based on performance, tenure, and internal equity considerations.
