About the role

We are seeking a reliable, organized, and personable Receptionist / Bank Runner for a full-time, on-site position in the Greater Toronto Area. This is a client-facing role in a busy legal office. The successful candidate will manage the front desk, support the firm's law clerk, assist the lawyer and other staff, and complete bank runs and other local errands.

This position is entirely on site. Remote or hybrid work is not available. Regular hours are Monday to Friday, 9:00 a.m. to 5:00 p.m. The successful candidate must have a valid Ontario G driver's licence and reliable access to a car throughout the workday.

Key responsibilities



- Greet clients and visitors promptly, warmly, and professionally.


- Answer and manage multi-line phone calls with clear, courteous, and optimistic phone etiquette.


- Return calls and follow up with clients, service providers, and other contacts without unnecessary delay.


- Monitor the office email inbox throughout the day, approximately every 10 to 15 minutes, and respond to or properly direct messages.


- Schedule and confirm appointments and keep calendars accurate and up to date.


- Assist the firm's law clerk, lawyer,



and staff with administrative work and client file tasks.


- Handle incoming and outgoing mail, couriers, scanning, photocopying, filing, document preparation, data entry, and maintenance of client files.


- Complete bank runs and other local errands connected with client files and firm operations.


- Conduct accurate online and document research when requested and summarize findings clearly.


- Assist with small marketing and business development tasks, including basic online updates and preparation of simple materials.


- Provide the lawyer with a daily update identifying completed work, outstanding items, and required follow-ups.


- Protect the confidentiality of all client, legal, and firm information.


- Keep the reception area and office clean, tidy, and presentable throughout the day.


- Leave the desk organized and clear at the end of each day, with papers and reminders properly filed or recorded rather than left as loose notes.

- A professional, positive, and reassuring manner in person and on the phone.


- The initiative to go out of your way to assist clients and follow tasks through to completion.






- Excellent organization, reliability, punctuality, and attention to detail.


- Strong multitasking ability. You must be comfortable managing competing priorities in a fast-paced office, including handling a call while promptly completing a related email or administrative task when appropriate.


- Good research skills and sound judgment about when to ask for guidance.


- Strong written communication, spelling, grammar, and typing skills.


- Proficiency with standard office software and confidence learning new systems.


- A commitment to cleanliness and an orderly, qualified workspace.


- A valid Ontario G driver's licence and reliable access to a car from 9:00 a.m. to 5:00 p.m., Monday to Friday.


- High school diploma or equivalent. Office administration or legal studies training is an asset.


- Previous experience in a law office, professional services office, customer service, or receptionist position is an asset.

Schedule, compensation, and commitment



- Full-time, Monday to Friday, 9:00 a.m. to 5:00 p.m.


- On site in the Greater Toronto Area; no remote or hybrid option.



Compensation is Ontario minimum wage.



- Applicants must be prepared to commit to the role for at least one year. We are seeking someone interested in building a long-term working relationship with the firm beyond the first year.

Candidates selected to continue in the hiring process will be asked about their typing speed, language skills, valid G driver's licence and access to a vehicle, and ability to provide two work references.
