As the Regional Manager of Subcontracts & Project Coordination, you'll be responsible for leading and overseeing a team of Facilities Coordinators to ensure smooth, efficient operations across the organization for multi-family residential communities. Your leadership will drive the success within the team, and play a pivotal role in maintaining the highest standards of efficiency and consistency, ensuring projects are completed on time, within budget, and to the uppermost quality.You will maintain strong communication with your team and other departments and key stakeholders, fostering a collaborative environment while ensuring consistency in procedures and policies. If you are a strategic thinker, a strong hands on leader, with experience managing diverse teams and projects, this role offers the perfect opportunity to make an impact in a dynamic, fast-paced environment.Your contributions to the team includes:Lead/Mentor and provide direction to the Facilities Coordinators and Administrators, ensuring departmental performance aligns with organizational goalsProvide guidance on best practices for maintenance and safety, and ensure all team members are knowledgeable about company policies and proceduresIdentify and resolve challenges in the coordination department including procurement, contract negotiations, scheduling, budgeting, and quality controlCollaborate and communicate effectively with the Facilities Manager to ensure alignment on facilities and operational needsPrepare detailed reports for senior management ongoing projects,
and budget performanceSupport the needs of thefield level Regional Facilities and Operation teamsSupport Facilities Manager with annual budget and capital project planningDevelop and implement improvement strategies for facilities coordination and budgetingOversee the coordination teams expense management ensuring that the financial spending is within budget and operational costs are optimizedReview, manage, and negotiate vendor contracts and performance (landscaping, snow removal, mechanical, other service providers)Develop and maintain relationships with third-party contractors to ensure high-quality service and cost-effectivenessPlan, organize, and lead capital projects and maintenance initiatives from kickoff meetings to project close-outsOversee and coordinate emergency and routine contractor activities, providing emergency support when neededTrack and manage inventory of supplies, conducting monthly countsSubmit and review invoices to the Accounts Payable department to ensure accuracyEnsure that all safety procedures and protocols are followed during repairs and maintenance activities to provide a safe working environment for both staff and residentsAny additional duties as requiredWhat you need to be successful:Education in Facilities Management, Completion of a trade or technical certification, or a related field is strongly recommended5 years experience in facilities management, property management, and or construction management is preferredComprehensive understanding of fire life safety systems,
including equipment operation and maintenance best practices; is considered an assetStrong project management skills with the ability to multitask and prioritize in a fast-paced environment.Excellent clear communication and interpersonal skills, with the ability to interact effectively with tenants, vendors, and senior managementProficient in using facilities management software (ERP/CMMS) and Microsoft Office Suite (Excel, Word, Outlook)Strong problem-solving and organizational skillsAbility to effectively manage emergency and perform well under pressureMust possess a valid Class 5 driver's license with a clean driving recordWhat we offer:Employees enjoy a wide range of benefits and competitive reward. You will be eligible to receive wages starting from $89,600.00 to $112,000.00 per year*, this will be determined by your skill set, education and experience.
