We are looking for an experienced Millwork Project Manager to join our team and take ownership of custom millwork projects from contract award through final installation, deficiencies, and project closeout, working collaboratively with management on billing and final payment.

This is a hands-on project management position in a custom millwork environment. You will coordinate the many moving pieces between our clients, general contractors, designers, architects, suppliers, drafting, production, finishing, delivery, and installation teams.

The right person understands that a successful project isn't simply one that gets installed . It needs to be properly scoped, accurately priced, efficiently produced, installed on schedule, financially controlled, and properly closed out.

You are someone who naturally looks three steps ahead, catches problems before they become expensive, and takes ownership of getting projects across the finish line.

WHAT YOU'LL BE RESPONSIBLE FOR: PROJECT OWNERSHIP

- Take full ownership of assigned projects from award through installation, deficiencies, and project closeout.
- Review contracts, drawings, specifications, schedules, scope, exclusions, allowances, and pricing at project award.
- Identify potential scope gaps, contractual risks, schedule concerns, and cost exposures before they become problems.
- Develop and maintain project schedules and critical milestone dates.
- Track project progress and ensure internal and external deadlines are being met.
- Coordinate multiple projects simultaneously while maintaining attention to detail.
- Act as the primary project contact and maintain clear communication with all stakeholders.

ESTIMATING & PROJECT FINANCIAL CONTROL

- Review the original estimate and project scope at turnover from estimating/sales.
- Understand project budgets, labour allowances, material costs, subcontractor costs, freight, installation costs, and anticipated margins.
- Monitor actual and committed costs throughout the project.
- Identify potential cost overruns early and communicate them to management.
- Track project profitability and help ensure projects remain within approved budgets.
- Identify work outside the original contract scope and ensure it is treated as a change order or extra rather than absorbed into the project.
- Prepare, price, track, and obtain approval for change orders in coordination with management.
- Maintain accurate records supporting additional work and project costs.

CONTRACTS, CHANGE ORDERS & COMMERCIAL PROTECTION

- Review project contracts and identify requirements that may affect scope, schedule, payment, or liability.
- Ensure project exclusions and assumptions are understood and maintained.
- Document owner/GC changes, site conditions, delays, omissions, revisions, and additional work.
- Issue RFIs and change-order requests when project conditions differ from the original scope.
- Ensure additional work is properly documented and approved wherever possible before the work proceeds.
- Track outstanding change orders through approval and billing.
- Monitor payment requirements, holdbacks, deficiencies, and outstanding accounts in collaboration with management.
- Escalate payment or contractual concerns to management promptly.

SHOP DRAWINGS & DRAFTING COORDINATION

- Coordinate the shop drawing process from initial drawings through approval.
- Review shop drawings for scope, dimensions, materials, hardware, finishes, constructability, and coordination with site conditions.
- Coordinate comments and revisions between the client, architect, designer, GC, and drafting team.
- Track drawing submissions and approvals against project deadlines.
- Ensure production does not proceed on items requiring outstanding approvals unless authorized.
- Identify discrepancies between architectural drawings, specifications, site conditions, and millwork requirements.
- Manage RFIs and ensure responses are received and properly documented.

SITE MEASURES & FIELD COORDINATION

- Coordinate and/or conduct site measurements as required.
- Confirm site conditions before releasing critical items into production.
- Verify dimensions, openings, walls, floors, ceilings, services, appliances, and other conditions affecting millwork installation.




- Identify site conditions that differ from drawings or original assumptions.
- Communicate field conditions to drafting, production, installation, and management.
- Ensure site readiness requirements are communicated to the GC/client before delivery or installation.

MATERIAL PROCUREMENT

- Coordinate procurement of materials, hardware, specialty components, finishes, and other project requirements.
- Monitor supplier lead times and identify long-lead items early.
- Coordinate purchasing with approved project budgets and schedules.
- Follow up on outstanding purchase orders and material deliveries.
- Identify potential material shortages, substitutions, price changes, and supply-chain delays.
- Communicate procurement risks that may affect production or installation schedules.
- Coordinate approved substitutions where required and ensure appropriate approvals are obtained.

PRODUCTION HANDOFF & SHOP COORDINATION

- Coordinate the transition from project management/drafting into production.
- Ensure the shop has the information required to manufacture the project correctly and efficiently.
- Confirm approved drawings, materials, hardware, finishes, dimensions, and special instructions are available before production.
- Coordinate production schedules with site deadlines and installation requirements.
- Maintain communication with the shop regarding project priorities, changes, and upcoming requirements.
- Resolve questions and discrepancies between drafting, production, and project requirements.
- Monitor production progress and proactively address issues that could affect schedule or quality.

DELIVERY & INSTALLATION

- Coordinate delivery dates, site access, storage requirements, hoisting, and installation schedules with the GC/site team.
- Confirm the site is ready before scheduling delivery and installation.
- Coordinate installers and installation subcontractors.
- Provide installers with the information and documentation required to complete the work.
- Monitor installation progress and address issues as they arise.
- Coordinate missing, damaged, incorrect, or incomplete components.
- Track site deficiencies and ensure they are assigned, scheduled, and completed.
- Maintain communication with the GC and site superintendent throughout installation.

GENERAL CONTRACTOR & CLIENT RELATIONS

- Develop and maintain strong skilled relationships with general contractors, clients, designers, architects, suppliers, and subcontractors.
- Attend project meetings as required.
- Provide clear and timely project updates.
- Respond to project correspondence and requests promptly.
- Communicate delays, risks, and required decisions before they become critical.
- Manage expectations professionally while protecting the company's contractual and financial interests.
- Represent the company professionally on job sites and in client meetings.

SCHEDULING & PROJECT COORDINATION

- Maintain detailed project schedules from award through installation.
- Coordinate project milestones including:
- Contract award
- Site measure
- Material selections
- Shop drawings
- Drawing approvals
- Procurement
- Production
- Finishing
- Delivery
- Installation
- Deficiency completion
- Project closeout
- Coordinate our schedule with the GC's overall construction schedule.
- Monitor dependencies outside our control, including site readiness, preceding trades, approvals, electrical/plumbing requirements, flooring, drywall, painting, and other site conditions.
- Proactively communicate when delays or site conditions will impact our schedule.

INVOICING, DRAWS & PROJECT CLOSEOUT

- Collaborate with management on project billing and invoicing requirements in accordance with contract payment terms.
- Provide management with accurate and timely information regarding project progress, completed work, approved change orders, and milestones required for billing.




- Assist management with preparing and supporting commencement, progress, milestone, change-order, and final invoices as required.
- Track project billing milestones and proactively communicate upcoming billing opportunities or requirements to management.
- Ensure approved change orders and additional work are properly documented and communicated to management for billing.
- Assist with tracking outstanding approvals, draws, holdbacks, and payments, and flag potential payment issues to management.
- Coordinate deficiency completion and final inspections.
- Assist with project closeout requirements and ensure outstanding project items are identified and addressed.
- Coordinate warranties, manuals, as-builts, maintenance information, and other required closeout documentation where applicable.
- Work collaboratively with management and accounting to ensure projects are accurately billed, properly documented, and brought to financial closeout.

WHAT WE'RE LOOKING FORREQUIRED

- 3+ years of project management experience in custom millwork, cabinetry, architectural woodwork, or commercial construction.
- Strong understanding of how custom millwork moves from drawings → procurement → production → finishing → delivery → installation.
- Ability to read and understand architectural drawings, millwork drawings, specifications, and construction documents.
- Solid understanding of construction sequencing and job-site conditions.
- Experience dealing directly with general contractors, designers, architects, and clients.
- Strong organizational skills and the ability to manage multiple projects and competing deadlines.
- Excellent written and verbal communication.
- Strong computer skills, including Microsoft Office/Excel and project management software.
- Ability to understand project costs and recognize when a project is moving outside of budget.

STRONG ASSETS

- Experience with commercial millwork or architectural millwork.
- Experience with high-end residential millwork.
- Previous shop or production experience.
- Experience with estimating and quoting millwork.
- Experience with change orders and contract administration.
- Experience coordinating installers and subcontractors.
- Familiarity with construction schedules and project management software.
- Experience with accounting/job-costing software such as QuickBooks.
- Experience reviewing contracts and specifications.
- Construction or millwork-related education or trade experience.

- Can have a difficult conversation with a GC when something isn't our responsibility.
- Can recognize when we made a mistake and work constructively toward a solution.
- Keeps clients informed without creating unnecessary drama.
- Doesn't need to be chased for updates.
- Can prioritize when multiple projects all need something at the same time.
- Takes pride in delivering a project properly — not just getting it off their desk.
