Medical Spa Coordinator (Reception & Client Experience)

Location: Yorkville, Toronto, ON

Colibri Laser & Beauty is a growing medical spa located in the heart of Yorkville. We specialize in cosmetic injectables, laser treatments, skin rejuvenation, body contouring, and advanced aesthetic services. We are looking for a professional, organized, and customer-focused Medical Spa Coordinator to join our team.

As the first point of contact for our clients, you will play a key role in creating an exceptional experience from the moment a client reaches out to us until they leave the clinic. This position is ideal for someone who enjoys working with people, thrives in a fast-paced workplace, and takes pride in delivering outstanding customer service.

Responsibilities

Client Experience

- Welcome clients and provide a warm, professional experience
- Check clients in and out for appointments
- Process payments and issue receipts
- Assist clients with booking, rescheduling, and confirming appointments
- Ensure all client information and consent forms are completed accurately
- Follow up with clients as required

Communication

- Answer incoming phone calls
- Respond to emails, text messages, and online inquiries
- Manage appointment requests and client questions in a timely manner
- Communicate professionally with clients, staff, and service providers

Administrative Duties

- Maintain accurate client records
- Assist with appointment scheduling and calendar management
- Monitor inventory levels and notify management when supplies need to be reordered
- Organize and maintain treatment rooms, reception area, and storage areas
- Assist with daily opening and closing procedures

Clinic Operations

- Maintain a clean, organized,



and professional clinic environment
- Ensure reception and waiting areas are always presentable
- Restock supplies throughout the clinic as needed
- Support clinic promotions and marketing initiatives
- Recommend appropriate treatments, packages, and promotions when applicable

Qualifications

- Previous experience in customer service, reception, hospitality, retail, medical office, or a similar client-facing role
- Excellent verbal and written communication skills
- Strong organizational and multitasking abilities
- Professional appearance and positive attitude
- Ability to work independently and as part of a team
- Comfortable learning new software and technology
- Detail-oriented with strong problem-solving skills
- Reliable, punctual, and responsible

Preferred Qualifications

- Previous experience in a medical spa, cosmetic clinic, dental office, or healthcare setting
- Experience using booking or scheduling software
- Sales or customer retention experience
- Knowledge of cosmetic injectables, laser treatments, and skincare services
