Headwater Projects is a growing real estate development and investment company with a diversified portfolio of residential and commercial assets across Western Canada.
Headwater is currently bringing the management of its portfolio in-house, creating an opportunity to join the team at an exciting stage of growth. As part of the residential property management team, you’ll play an important role in the day-to-day operation, maintenance and resident experience of the properties.
The Prospect
Headwater Projects is seeking an experienced Building Manager to be the primary on-site point of contact for tenants and support the ongoing operation of a multi-unit residential property.
Reporting to the Property Manager, you’ll be responsible for keeping the building running smoothly, responding to tenant requests, coordinating maintenance and contractors, monitoring the condition of the property and ensuring common areas and building systems are maintained to a high standard.
This is a hands-on role suited to someone who enjoys being active on-site, solving problems and building strong relationships with residents. You’ll have a direct impact on the condition of the property and the experience of the tenants who live there.
Key Responsibilities
Tenant Service & Relations
- Act as the primary on-site point of contact for tenants.
- Respond to maintenance requests, questions and concerns professionally and promptly.
- Build and maintain positive relationships with tenants.
- Manage difficult or sensitive tenant interactions appropriately.
- Keep the Property Manager regularly updated on tenant concerns, vacancies and building matters.
Building Maintenance & Operations
- Conduct daily inspections of common areas and the property.
- Identify and report maintenance deficiencies and potential capital requirements.
- Complete minor repairs within your skill set, including painting, patching, hardware adjustments and basic plumbing/electrical work.
- Coordinate preventative maintenance and monitor repair work.
- Coordinate access for contractors, trades and inspectors.
- Monitor contractor work and report deficiencies to the Property Manager.
- Maintain building equipment and maintenance logs.
- Monitor boiler rooms and building equipment, including pumps, boilers and hot water systems.
Property Appearance
- Maintain the cleanliness, safety and overall presentation of the property.
- Complete spot cleaning, garbage removal and other minor cleaning duties as required.
- Maintain common areas, storage areas and grounds.
- Support snow removal and ice-melt application as required.
- Conduct regular inspections and maintain required checklists and records.
Suite Turnover & Leasing Support
- Prepare vacant suites for rental.
- Coordinate and assist with suite turnovers, including inspections, cleaning, repairs and appliance checks.
- Manage key and fob control.
- Conduct pre-move-out, move-in and move-out inspections.
- Show vacant suites to pre-screened prospective tenants at the direction of the Property Manager.
Emergency Response & Security
- Participate in an after-hours emergency response rotation.
- Respond to urgent building matters and follow established emergency procedures.
- Respond to and escalate emergencies such as water leaks, loss of heat or power, fire/life-safety alarms, elevator interruptions and security incidents.
- Document and report significant incidents promptly.
- Maintain secure control of building and suite keys, fobs and access codes.
- Protect tenant confidentiality and follow privacy and suite-entry procedures.
Administration
- Maintain accurate tenant, maintenance, inspection and incident records.
- Post and serve authorized tenancy notices in accordance with the Residential Tenancy Act and company procedures.
- Assist with rent collection and arrears communication as directed.
- Maintain parking, storage and access records.
- Provide regular updates to the Property Manager regarding building operations and tenant matters.
About You
You are a reliable, hands-on and service-oriented Building Manager who takes pride in maintaining a well-run property and providing a positive experience for residents.
You will ideally bring:
- Previous experience as a Building Manager in a multi-unit residential complex.
- A valid driver's licence and reliable vehicle, as travel between sites may occasionally be required.
- Knowledge of the BC Residential Tenancy Act and residential tenancy practices is an asset.
- Hands-on experience in building maintenance, handyman work or repairs is an asset.
- Basic computer and smartphone proficiency, including email, photographs, digital work orders and maintenance records.
- WHMIS, First Aid or building operations training would be an asset.
- Strong organizational and time-management skills.
- Excellent written and verbal communication skills.
- The ability to work independently and exercise sound judgment, particularly during emergencies.
- A professional, courteous and respectful approach when dealing with tenants, contractors and trades.
- Strong discretion, accountability and attention to detail.
What You'll Bring
This role is best suited to someone who is practical, dependable and comfortable being the person tenants turn to when something needs fixing.
You don't need to be an expert in every trade, but you should be confident troubleshooting issues, completing basic repairs, coordinating contractors and knowing when an issue needs to be escalated.
