Job Overview

We are looking for a reliable, organized, professional, and friendly Full-Time Receptionist / Administrative Assistant to join our mortgage and real estate office.

This is a great opportunity for someone who enjoys working with people, is comfortable in a professional office environment, and is interested in learning and growing within the mortgage, real estate, and financial services industry

Responsibilities

- Greet clients and visitors in a professional and welcoming manner
- Answer and direct incoming phone calls
- Respond to emails and general client inquiries
- Schedule and manage appointments and calendars
- Maintain confidential client files, documents, and records
- Assist with document collection, scanning, filing, and organization
- Follow up with clients regarding outstanding documents and appointments
- Provide administrative support to mortgage agents and office management
- Assist with organizing mortgage and real estate files
- Perform data entry and basic record-keeping
- Coordinate with clients, lenders, lawyers, realtors, accountants, and other professionals when required
- Maintain a clean, organized, and skilled reception and office environment
- Handle multiple priorities and deadlines

Qualifications

- Strong verbal and written communication skills
- Excellent customer service and interpersonal skills
- Good computer skills, including Microsoft Office, email, and general office software
- Excellent organization and time-management skills
- Strong attention to detail
- Ability to multitask and prioritize responsibilities
- Ability to work independently and as part of a team
- Professional, positive, and dependable attitude
- Strong follow-up skills
- Willingness to learn and take initiative




- Ability to handle private and confidential client information with complete discretion

Experience

Previous mortgage or real estate experience is not required, as training can be provided.

However, experience in any of the following would be considered a strong asset:

- Mortgage or real estate administration
- Reception or office administration
- Banking or financial services
- Customer service
- Basic accounting or bookkeeping
- QuickBooks or similar accounting software

Compensation

Competitive compensation based on experience, skills, and qualifications.

The compensation range posted in this job description is intended as a general guideline. Depending on the candidate’s experience, qualifications, and overall suitability for the role, compensation may be higher than the posted range. Final compensation will be discussed during the interview process.
