Executive Assistant / Project Assistant

Mandarin & English | Hybrid | Metro Vancouver

1. Position Overview

We are seeking an Executive Assistant / Project Assistant to support an employer with specific tasks and projects across areas such as business investments, project management, administrative matters, information research, and selected Private Office activities.

We do not expect candidates to have experience in every area, nor are we looking for someone who can “do everything.”

If you have strong hands-on execution capabilities in one or more areas—such as administrative support, project coordination, business and investment matters, research, recruitment and HR, real estate and property matters, vendor coordination, IT/AI applications, healthcare-related matters, or other relevant fields—we welcome your application.

You do not need to be an all-round candidate with extensive experience across every area. If you have strong practical capabilities in one or several relevant professional fields and can understand assignments, move work forward, and deliver reliable results, you may be a good fit for this position.

2. Key Responsibilities

Depending on the candidate’s professional background and capabilities, the work may involve one or more of the following areas:

- Executive / Administrative Support
- Project Coordination and Execution
- Business & Investment Support
- Research & Information Management
- Vendor / Service Provider Coordination
- Recruitment & HR Support
- Property / Household Project Coordination
- Technology & AI Tools
- Document Preparation & Business Communication
- Other specific tasks within the scope of a Private Office that are appropriate for an Executive Assistant / Project Assistant

Candidates are not expected to be proficient in all of the above areas.

If you can perform at a high professional and execution level in even one of these areas, we encourage you to apply.

3. Minimum Qualifications

Applicants must meet the following requirements:

- Currently reside in Metro Vancouver;
- Hold a valid BC Class 5 driver’s licence or higher;
- Be fluent in both English and Mandarin, with oral and written communication skills sufficient for professional work in your area of expertise;
- Possess the knowledge, judgment, organizational ability, and practical execution skills expected at the Executive Assistant level in at least one professional area relevant to Private Office work;
- Be willing to complete one or more small, paid practical work assignments as part of the assessment process;
- Be reliable, conscientious, and responsible, with strong communication and execution skills; and
- Be comfortable with some variation in work responsibilities and willing to learn tasks or subject areas that may initially be unfamiliar.

4. Who We Are Looking For

Rather than searching for someone who meets every possible requirement, we are more interested in:

What are you genuinely good at, and what can you help the employer accomplish well?

Therefore, even if you have never formally held the title of Executive Assistant, we still encourage you to apply if your professional background and practical capabilities are relevant to part of this role.

Suitable candidates may come from backgrounds such as:

Administration, project management, business operations, finance, investment, real estate, human resources, recruitment, research, IT/AI, professional services, high-end client service, or other relevant fields.

5. Recruitment and Assessment Process

To reduce unnecessary complexity commonly associated with traditional hiring, we use a simplified recruitment process focused on verifying practical ability:

- The recruiter will source and screen candidates based on the essential requirements of the position.

- The recruiter will review application materials and conduct a video interview, together with any necessary follow-up communication, to complete an initial assessment.
- Qualified candidates will be recommended to the employer, together with the recruiter’s assessment.
- The employer will review the recommended candidates.
- Candidates who appear to be a potential fit will be invited to complete one or more small, paid practical work assignments.
- Wherever possible, these assignments will be designed around the candidate’s professional background in order to assess actual execution ability, communication style, quality of work, and mutual working compatibility.
- Candidates who perform well and are interested in further development may undergo any additional assessment and review reasonably required for a full-time position.
- Subject to mutual agreement, the relationship may then progress to full-time employment.

Our principle is simple: we prefer to rely less on lengthy interviews and more on reasonable, real-world work assignments that allow both sides to understand each other through actual collaboration.

All practical assessment assignments will be paid at a reasonable rate.

6. Compensation and Benefits

Full-Time Reference Salary: CAD $70,000–$120,000 per year

Final compensation will be determined based on the candidate’s professional capabilities, relevant experience, the responsibilities they can actually assume, and the working arrangement mutually agreed upon.

Candidates who enter the practical assessment stage will be offered one or more small, real-world work assignments on a paid basis.

Paid Assessment Reference Rate: CAD $35–$50 per hour

Assessment assignments will normally be limited in scope and will have clearly defined objectives and deliverables. Their primary purpose is not to complete a large volume of work, but to allow both sides to evaluate the candidate’s professional capabilities, execution efficiency, judgment, communication style, and overall working compatibility through actual work.

Our compensation principles include:

- Market-Competitive Compensation: A person performing the role at a normal professional level should receive overall compensation that is reasonably competitive with comparable positions carrying similar responsibilities in the market.
- Capability and Contribution: Stronger professional capabilities, greater ability to work independently, and greater value created may result in higher compensation.
- Responsibility and Reward Should Correspond: As responsibilities and contributions increase, compensation and other development opportunities may increase accordingly.
- All Practical Assessments Are Paid: Candidates will not be asked to prove their abilities through unpaid work.
- Long-Term Development Is Not Limited by the Current Salary Range: If a candidate eventually assumes responsibilities materially beyond the scope of an Executive Assistant, the position and compensation will be reassessed based on the new responsibilities and contributions.

For an exceptional candidate who demonstrates the ability to assume higher-level responsibilities, we are open to discussing compensation above the reference range stated above.

Our objective is not to hire an assistant at the lowest possible cost. We want to find someone who can genuinely solve problems and with whom it is worthwhile building a long-term working relationship.

7. Career Development Opportunities

This position does not necessarily have to end with the title of Executive Assistant.

The employer has extensive long-term experience in business operations, investment, and entrepreneurship. Current areas of focus include business investment, corporate development, and the development of a Private Office system.

Through day-to-day collaboration, the Executive Assistant / Project Assistant will have substantial opportunities to communicate directly with the employer and discuss topics such as working methods, business operations, project management, career choices, and personal professional development.

For individuals who demonstrate strong learning ability, responsibility, and development potential, future opportunities may include:

- Taking responsibility for more complex projects and higher-level work;
- Progressing from execution-oriented work into project management or management positions;
- Assuming more significant responsibilities in areas aligned with the individual’s professional strengths; and
- Potential opportunities to be recommended for more senior positions within businesses in which the employer invests or participates.

We do not expect every candidate to make this their long-term career plan. However, we hope to provide greater development opportunities to individuals who are genuinely capable, responsible, and motivated to grow.

8. How to Apply

Please submit your résumé and briefly answer the following questions:

- Where do you currently live? Do you hold a valid BC Class 5 driver’s licence or higher?
- What is your professional working proficiency in English and Mandarin, respectively?
- If we set job titles aside, what types of real-world problems do you believe you can help the employer solve most effectively? Please identify 1–3 professional areas in which you are most confident.
- Are you willing to complete a small, paid practical assignment with clearly defined deliverables as part of the assessment process?
- Please provide one specific example of a successful assignment or project that you completed independently, even though the subject matter was completely unfamiliar to you at the beginning.

We welcome applicants from a variety of professional backgrounds.

We are not looking for someone who can do everything. We are looking for someone who can do certain things exceptionally well—and who has the potential to take on broader responsibilities as the working relationship develops.
