Position Summary
We are seeking an experienced Transportation & Logistics Administrator to join our Pembroke team. This position is responsible for coordinating and monitoring transportation and delivery activities while providing administrative support to the day-to-day operation of the office.
The successful candidate will have a minimum of three years of relevant experience in transportation, logistics, dispatch, or a similar operational environment and will be comfortable managing changing priorities, communicating with drivers and customers, maintaining accurate records, and independently resolving day-to-day logistical issues.
In addition to transportation and logistics responsibilities, this role will provide general administrative support to the Pembroke office, including maintaining documentation, coordinating communications, data entry, filing, preparing reports and correspondence, and assisting with other office requirements as needed.

Key Responsibilities
- Coordinate and schedule daily deliveries and transportation activities
- Communicate with drivers regarding routes, delivery instructions, job-site requirements and schedule changes
- Monitor delivery progress and provide timely updates to customers, project managers and internal departments
- Coordinate with yard and operations personnel to ensure orders are prepared, loaded and dispatched accurately and on schedule
- Respond to delivery issues, delays, weather conditions, site restrictions and changing customer requirements
- Maintain accurate transportation records, dispatch logs, proof-of-delivery documentation and customer information
- Coordinate urgent and priority deliveries and adjust schedules as operational requirements change
- Communicate professionally with customers, contractors, drivers, suppliers and field personnel
- Utilize dispatch software, GPS tracking, Microsoft Office and other digital systems to support daily operations
- Prepare and maintain reports, spreadsheets, correspondence and operational documentation
- Perform data entry, document management, filing and general record maintenance
- Assist with telephone and email inquiries and other day-to-day office communications
- Provide general administrative support to management and other departments as required
- Assist with continuous improvement initiatives to improve transportation efficiency, administrative processes and customer service
Qualifications
- Minimum 3 years of experience in transportation, logistics, dispatch, fleet coordination or a related operational role
- Previous experience coordinating deliveries, drivers and transportation schedules
- Administrative or office coordination experience strongly preferred
- Experience working in a fast-paced construction, manufacturing, transportation or industrial environment is an asset
- Strong organizational, administrative and time-management skills
- Demonstrated ability to manage multiple priorities and changing deadlines
- Strong problem-solving skills and ability to make sound decisions independently
- Excellent written and verbal communication skills
- Strong attention to detail and accuracy
- Proficiency with Microsoft Office, particularly Excel, Word and Outlook
- Comfortable learning dispatch, GPS, ERP and other operational software
- Experience with flatbed transportation is a strong asset
- Experience coordinating oversized or over-dimensional loads is an asset
- Familiarity with reinforcing steel, construction materials or the construction industry is an asset

Compensation & Benefits
- Salary: $54,000–$65,000 per year (pay range disclosed in accordance with Ontario pay transparency requirements)
