Role Overview
At Lift Clinic, we lift people as a team so they can step toward success by their own definition. The Assistant Clinic Manager serves as the primary anchor for our front-of-house client experience while stepping up to directly support the Clinic Manager with daily administrative operations, team coordination, and marketing initiatives. This role bridges front-desk execution with operational leadership across our integrated physiotherapy, chiropractic, massage therapy, and strength coaching/athlete development services.
Key Responsibilities
Front-of-House & Client Experience (Primary Focus)
- Patient Hospitality: Deliver welcoming "Grandmother visits" level customer service, answer client inquiries, and maintain brand-standard cleanliness in the lobby and treatment spaces.
- Scheduling & Billing: Utilize JaneApp to book appointments, process payments, collect fees, and manage third-party insurance correspondence.
- Communication Management: Manage phone lines via Talkroute, handle general email correspondence, and execute retention, winback, and confirmation call workflows.
- Daily Clinic Operations: Execute daily digital checklists, perform light cleaning/sanitizing, restock products, and manage clinic laundry and plant care.
Operational & Managerial Assistance
- Shift & Schedule Support: Assist the Clinic Manager in organizing front-desk shift coverage for the Client Experience Coordinator (CEC) team to ensure full operational coverage.
- Billing & Administrative Oversight: Help audit billing accuracy, assist with accounts receivable for 10–15 clinicians,
and ensure compliance with policies for parties like ICBC Greenshield and Pacific Blue Cross.
- Inventory Delegation: Monitor and delegate general and clinical supply stock management to maintain proper supply levels.
- Metrics & Quality Control: Track phone answer rates, booking conversions, and client scorecards alongside the manager to maintain service standards.
Marketing & Community Engagement Support
- Content Creation: Assist front-desk staff in producing and publishing social media content, monthly newsletters, and website blog updates.
- Reputation & Events: Track Google Review collection efforts and assist with the setup and coordination of community events and student mentorship programs.
What We are Looking For:
- University level education, Bachelor’s degree or higher is preferred
- Highly organized leader who values teamwork, delegation, accountability, and efficiency
- Ability to multitask and manage competing priorities in a quick-paced environment.
- Thrive in a growth-oriented environment and are passionate about supporting health and performance in clients
- Problem solver keen to support the dual nature of our business (Clinical Services and strength & conditioning)
- 2+ years of experience in customer service, hospitality,
healthcare administration, or fitness/wellness industries
- Experience leading a team, including hiring, training, and performance management is a strong asset
- Strong proficiency in Google Workspace (Docs, Sheets, Gmail, Calendar)
- Proficiency in JaneApp (or similar booking/billing software) is strongly preferred
- Proficiency in WordPress, MailChimp, Canva and social media platforms is preferred
- Passion for rehabilitation, performance, and client-centered care.
