A key resource to our success at Superior Testing Services, is our ability to perform prompt critical environment services and repair support to our customers. This includes preventative maintenance programs, diagnosis, trouble shooting and repairs to various HEPA Filter and containment devices such as; Biological Safety Cabinets, Laminar Flow Clean Benches, Fume Hoods and other HEPA related instruments
We are currently expanding our team and are looking for an Office Administrator, we are willing to invest into ideal candidates.
Position Summary
We are seeking a highly organized and detail-oriented Office Administrator to oversee daily office operations and ensure efficient administrative processes. The ideal candidate will possess strong computer skills including the use of Quickbooks, excellent communication abilities, and experience with various office management tools. This role is vital in maintaining a professional environment, supporting staff, and providing exceptional customer service to visitors and clients.
Duties & Responsibilities
- Manage front desk operations, including greeting visitors and handling multi-line phone systems with professionalism and courtesy.
- Oversee daily data entry via Quickbooks, filing and record-keeping to ensure accuracy and confidentiality.
- Create Purchase orders, quotations, and requisitions.
- Manage work orders.
- Co-ordinate scheduling and calendar management for staff and appointments.
- Daily email communications with various clients across Canada.
- Utilize software such as quickbooks, Microsoft Suites, and other relevant tools for administrative tasks.
Education and Experience
- College diploma or equivelent in Business/Office Administration.
- Proven clerical or administrative experience in an office environment is required.
- 5+ years’ experience with bookkeeping practices including invoicing and expense management using Quickbooks.
- Strong computer skills with proficiency in Quickbooks, and Microsoft Office Suite.
- Demonstrated ability in data entry, proofreading, filing systems and managing phone systems with excellent phone etiquette.
- Prior experience is running a service company is highly desirable.
- Exceptional organizational skills with the ability to prioritize tasks effectively while maintaining attention to details.
- Knowledge of human resources practices including onboarding, training & development.
- Experience with ISO Certification and Standards will be considered an additional asset.
- 5+ years of administrative experience (trades or service industry in as asset).
Work Environment
- Valid driver’s license and passport required, with ability to travel in North America.
- Transportation is required - office is in rural area.
- Must demonstrate professionalism (appearance, speech, manner, communication) and have good communication and interpersonal skills with the ability to work with customers in a positive and professional manner.
- Must be able to perform light duty work, occasionally lifting of up to 40 lbs.
Job Types: Full time, Permanent
Pay: $25.00-$30.00 per hour
Expected hours: 40.0 per week
