About CIFFC

The Canadian Interagency Forest Fire Centre (CIFFC) supports wildfire management agencies across Canada by coordinating resource sharing, strengthening national collaboration, and advancing programs and standards that improve Canada’s collective wildfire response and resilience. FireSmart Canada, a program under CIFFC, empowers communities and individuals to take proactive steps to reduce wildfire risk through education, resources, and best practices for prevention and mitigation.

The Opportunity

Reporting to the Director of Business and Governance, the Finance & Administrative Assistant is responsible for providing administrative, financial and clerical support to the organization. The Finance & Administrative Assistant supports day-to-day accounting activities including accounts payable, accounts receivable, invoice processing, reconciliations, and data entry while also providing general administrative support to ensure the efficient operation of the office.

Key Responsibilities

Accounting & Financial Administration

- Process accounts payable invoices and ensure coding accuracy.
- Prepare and process accounts receivable invoices and monitor outstanding balances.
- Perform data entry and maintain accurate accounting records within MS Dynamics 365.
- Assist with monthly bank and account reconciliations.
- Support month-end and year-end financial processes.
- Review and verify invoices, receipts, expense claims and supporting documentation.
- Follow up with vendors and customers regarding invoice and payment inquiries.
- Assist in maintaining vendor and customer records.
- Ensure financial documentation is organized and retained according to record management requirements.

Administrative and Clerical Support

- Provide general administrative and clerical support organization-wide, as required.
- Create and format a variety of documents using Microsoft Office (Word, PowerPoint, Excel, Publisher, etc.).
- Maintain an efficient filing system for CIFFC’s documents and files.
- Take notes at meetings (both in-person and conference/video-conference calls) and produce meeting minutes.




- Support receptionist duties for CIFFC, answering, prioritizing and directing calls.
- Perform other duties as assigned.

Qualifications

- High school diploma or equivalent.
- Minimum 2 years of experience in bookkeeping, accounting support, accounts payable or accounts receivable.
- Experience using accounting software; MS Dynamics 365 experience is strongly preferred.
- Experience processing AP and AR transactions.
- Understanding of basic accounting principles and financial record keeping.
- Intermediate to advanced Microsoft Excel skills.
- Demonstrated proficiency in Microsoft Office applications (Word, Excel, PowerPoint, Publisher, Outlook).
- Excellent organizational skills.
- Excellent communication skills.
- Experience editing and formatting documents with a high degree of accuracy and attention to detail.
- Experience performing receptionist duties including answering phones, responding to inquiries and receiving couriers and visitors an asset.
- Experience taking meeting notes and preparing minutes accurately and efficiently an asset.
- Demonstrated ability to effectively manage multiple priorities and meet deadlines.
- Robust commitment to maintaining confidentiality when dealing with sensitive information.

Work Arrangement

- In office

Salary Range

The base salary range for this position is between $50,584 - $71,825 annually.

(The starting salary will be determined based on relevant experience, skills, and internal equity. New hires generally begin within the lower to first quarter of the range, with room to progress as they develop in the role.)

This represents base salary only and does not represent other compensation components of the total compensation (i.e. annual vacation allotments, pension contributions, etc.). The actual base salary will vary depending on relevant job-related factors such as knowledge, skills, qualifications, experience, and education/training.
