We are hiring an Operations Excellence Manager to help strengthen day-to-day operations, standardize processes, and support continuous improvement across clinical and administrative teams.
What You’ll Do
1) Operational Excellence and Quality
- Implement and track KPIs, workflows, and service standards across clinical and non-clinical operations.
- Build and maintain SOPs, scripts, training materials, and onboarding tools to support quality, efficiency, and compliance.
- Train team members on updated workflows and monitor adoption through audits, coaching, and feedback loops.
- Improve scheduling, capacity management, and patient flow, including appointment management and roster coordination.
- Support continuity-of-care processes (referrals, follow-ups, documentation standards, prescription renewal workflows where applicable).
2) Process Improvement, Automation, and Reporting
- Map current workflows, identify bottlenecks, and recommend improvements using data and frontline input.
- Implement practical automation to reduce manual tasks (booking reminders, follow-up workflows, documentation prompts, client communications).
- Maintain centralized reporting dashboards and weekly/monthly operational reporting (e.g., utilization, cancellation rate, lead-to-booking conversion, rebooking rate).
- Lead structured improvement initiatives using Lean principles (Six Sigma experience is a bonus, not required).
Systems you may work in: Jane (or similar EMR),
HubSpot (or CRM), spreadsheets/reporting tools (Excel; Power BI is an asset).
(We’ll train the right person on our exact stack.)
3) Client Experience and Service Excellence
- Investigate client issues, identify root causes, and implement fixes with leadership and staff.
- Use surveys and feedback to improve the client journey from first contact to follow-up and retention.
- Create simple standards for response time, communication quality, and handoffs between teams.
- Partner with marketing/leadership to improve conversion and retention through proactive outreach and timely communication.
4) Initiative Support and Execution
- Support clinic projects by translating goals into operational requirements, workflows, and training.
- Track timelines, risks, and readiness so changes are implemented smoothly.
- Participate in meetings as needed to ensure operations are represented and decisions are executable.
5) Collaboration and Training
- Coach and mentor team members on operational habits that support quality and consistency.
- Build internal repositories (SOP library, training hub, templates) so processes are easy to follow and repeatable.
- Strengthen internal communication so updates land clearly and stick.
What You’ll Need
- Bachelor’s degree in Healthcare Administration, Nursing, Business,
or related field (Master’s is an asset).
- 1–3 years experience in operations, process improvement, quality, clinic administration, or healthcare environment.
- Strong analytical and documentation skills with confidence in Excel (Power BI is an asset).
- Strong interpersonal skills — you can influence without authority and build trust across roles.
- Experience supporting change management (training, adoption, accountability).
- Comfort learning new software and improving how teams use it.
Bonus Points
- Lean/Six Sigma certification or formal process improvement training.
- Experience with EMRs/CRMs (Jane, Accuro, HubSpot, OceanMD, etc.).
- Experience in a multidisciplinary clinic environment.
