Shawar Law is an established Edmonton law firm with a primary focus on Canadian immigration law, since 2007. We are seeking a suitable candidate for a permanent, full-time position at a law office in Edmonton, Alberta. This role is ideal for someone looking to become a long-term member of a close-knit team. The selected candidate will serve as the Front Desk Coordinator.

This role is essential to the daily operations of our practice and contributes significantly to the overall client experience. The responsibilities for this position include, but are not limited to, the following:

- Greeting and welcoming clients and visitors in a professional and courteous manner, both in person and over the phone.
- Answering and directing incoming calls to the appropriate staff members or departments.
- Scheduling and managing appointments, including maintaining the office calendar and coordinating with attorneys and consultants.
- Receiving, sorting, and distributing incoming mail, as well as handling outgoing correspondence and courier services.
- Maintaining a clean and organized reception and conference room area, ensuring that it is presentable and stocked with necessary materials at all times.
- Providing administrative support to lawyer(s) and staff as required, which may include photocopying, filing, scanning documents, and data entry.
- Managing client intake procedures, including the preparation and distribution of intake forms and the collection of required documentation.
- Monitoring office supplies and coordinating replenishment as needed.




- Ensuring that confidential client information is handled with discretion and in compliance with professional standards and privacy regulations.

This position requires someone who is organized, personable, detail-oriented, and able to manage multiple tasks in a fast-paced environment while maintaining a professional demeanor at all times. Familiarity with immigration processes is an asset, although not a requirement.

Qualifications

- Post-secondary education from an accredited college or university, or equivalent relevant experience;

Computer Skills

- Strong working knowledge of Microsoft Office suite and Adobe Acrobat is an asset.
- Candidates should also be comfortable learning and working with legal practice management systems, electronic immigration portals, cloud-based document systems, and other office technology.

Additional Skills

- Experience in a legal setting will be given preference.
- Strong verbal communication skills and confidence communicating with clients from diverse backgrounds;
- Strong written English skills, including the ability to prepare clear, professional, and well-organized correspondence; and
- The ability to review large amounts of information and documentation while maintaining a high degree of accuracy and attention to detail.
