This position is ideal for someone who enjoys working with children, parents, and teachers and is comfortable managing multiple administrative tasks in a busy educational environment. The successful candidate will play an important role in keeping our classes, student records, parent communication, and day-to-day centre operations running smoothly.
Key Responsibilities
- Welcome students and parents and provide friendly, professional front-desk support.
- Respond to inquiries by phone, email, social media, and in person regarding our programs, class schedules, registration, fees, and general centre information.
- Assist families with student registration, trial classes, program enrollment, and other administrative procedures.
- Maintain accurate student records, including contact information, enrollment status, attendance, class schedules, payments, and related documentation.
- Coordinate class schedules and communicate with teachers, students, and parents regarding schedule changes, cancellations, make-up classes, holidays, and school closures.
- Follow up with parents regarding registrations, upcoming classes, payments, and other administrative matters.
- Receive and record tuition payments, prepare receipts when required, and maintain accurate basic payment records.
- Prepare and organize documents such as registration forms, class lists, notices, schedules, letters, and internal communications.
- Support communication and coordination between management, teachers, students, and parents.
- Assist teachers and management with classroom materials, printing, photocopying, and general administrative needs.
- Monitor office and classroom supplies and help ensure materials are available for daily classes.
- Provide administrative support for camps, workshops,
special programs, and other centre events.
- Help maintain a clean, organized, welcoming, and qualified reception and office environment.
- Identify and report scheduling, payment, parent-service, or operational issues that require management attention.
Qualifications
- Strong communication and interpersonal skills.
- Friendly, patient, professional, and comfortable communicating with both parents and children.
- Strong organizational skills and attention to detail.
- Able to manage multiple tasks and priorities in a fast-paced environment.
- Comfortable using email, Microsoft Office or Google Workspace, spreadsheets, messaging platforms, and social media.
- Able to maintain accurate records and handle payment information responsibly.
- Valuable written and spoken English.
- Mandarin or another additional language is considered an asset.
- Previous experience in administration, customer service, education, tutoring centres, childcare, or a similar environment is an asset.
- Experience with scheduling, student registration, or customer relationship management is an asset but not required.

the ability to communicate clearly and follow through on tasks is especially important.
The ideal candidate is someone who does not simply wait for instructions, but is able to notice what needs to be followed up on, keep information organized, and help ensure that students and families receive a smooth and professional experience.
Schedule
This position primarily supports our after-school educational programs. Availability during weekday afternoons and evenings, and occasionally on weekends for special programs or events, is preferred.
Specific working hours will be discussed based on the candidate's availability and the centre's class schedule.
About Victor Learning Centre
Victor Learning Centre provides academic support and enrichment programs for school-aged students. We work closely with students and families to provide personalized learning support in a welcoming and supportive educational environment.
Our programs include academic tutoring, English language arts, mathematics, reading and writing development, enrichment programs, and other educational services.
Job Type
Full-time, with the possibility of additional hours as enrolment and programs grow.
