Job Summary The Faculty of Arts and Social Sciences ( FASS ) is dedicated to delivering the highest quality arts, humanities and social science education in Canada consistent with our standing among the top fifteen universities in the country. Reporting to the Chairs in the Department of Philosophy and Department of French, the Administrative Assistant provides administrative support for the graduate programs in both departments, ensuring excellent services in support of the Graduate Coordinators and current and prospective students. They also provide front-line reception services to students and faculty members, and assist the Administrative Coordinators in each department with general administrative duties.

Key Responsibilities

- Provide comprehensive administrative support for undergraduate and graduate programs, serving as a key resource for students, faculty, committees, and program coordinators on academic policies, procedures, and student services.
- Coordinate graduate admissions processes, including application tracking, documentation review, admissions recommendations,



funding administration, and liaison with the Faculty of Graduate Studies.
- Administer student records, registrations, scholarships, awards, payroll documentation, academic reporting, and program information systems while ensuring compliance with university policies and collective agreements.
- Support departmental operations by managing inquiries, maintaining records and databases, coordinating meetings and events, updating websites and communications, and providing reception and office administration services.
- Assist faculty members and departmental leadership with academic and administrative activities, including program reviews, course administration, textbook orders, room bookings, orientation events, and special projects.
- Provide administrative support for departmental publications and outreach activities, including subscription management, financial processing, correspondence, document formatting, and coordination of communications and distribution.

Note The successful applicant will be eligible for hybrid work (combination of in-person work on campus and work from home from within Nova Scotia) as agreed by all parties based on operational requirements and university guidelines.

Required Qualifications

- Business/Administrative Professional program with approximately three years of related experience (or an equivalent combination of training and experience).
- Excellent communication, organization and interpersonal skills.
- Attention to detail and ability to multi-task.
- Proficiency in MS Office applications (Word, Excel, Outlook).

Assets

- Beginner to intermediate proficiency in French.
- Experience in a university or similarly complex organization (government, school board, health, etc.).
