Administrative Assistant (Full-Time, In-Office)

Location: Barrie, Ontario

Neural Rehabilitation Group provides quality support and rehabilitation services to individuals who have been seriously injured. Our clients may be recovering from trauma or living with brain injuries, spinal cord injuries, serious orthopedic injuries, and amputations.

Our team works closely with clients, insurance companies, law firms, healthcare professionals, and other community partners. Our staff uphold our company values of integrity, professionalism, authenticity, compassion, and respect in everything we do.

We are seeking a goal directed and professional, organized, and detail-oriented Administrative Assistant to join our team. This position is primarily focused on accounts receivable, billing, documentation, and professional communication with clients, insurers, law firms, and other stakeholders but will include other duties as required.

The successful candidate will be comfortable working with financial and confidential information, following up on outstanding accounts, maintaining accurate records, and communicating professionally with a variety of parties.

Key ResponsibilitiesAccounts Receivable & Billing

- Prepare, process, and track client invoices and billing documentation
- Maintain accurate accounts receivable records and monitor outstanding balances
- Follow up on overdue accounts and outstanding payments
- Communicate with insurance companies, law firms, clients, and other payers regarding invoices and payment status
- Investigate payment discrepancies and assist with resolving billing issues
- Track payments and ensure they are accurately applied to client accounts
- Maintain organized financial records and supporting documentation




- Assist with reconciliation and other routine financial administrative tasks

Insurance & Legal Communication
- Communicate regularly with insurance adjusters, law firms, legal assistants, clients, and other professionals
- Follow up regarding outstanding invoices, approvals, documentation, and payment inquiries
- Prepare and send professional correspondence
- Maintain accurate records of communications and follow-up requirements
- Ensure requested documentation is provided accurately and within required timelines

Client & Administrative Support
- Answer incoming telephone calls and respond to general inquiries
- Communicate with clients and caregivers in a professional, respectful, and compassionate manner
- Maintain accurate and organized electronic client files
- Prepare letters, forms, reports, and other business correspondence
- Assist with general administrative duties and special projects
- Monitor administrative tasks and follow up independently to ensure items are completed

Confidentiality & Accuracy
- Handle sensitive client, legal, medical, and financial information with a high level of confidentiality and discretion
- Maintain accurate documentation and filing systems
- Carefully review invoices, correspondence, and records for accuracy
- Ensure administrative processes are completed in accordance with company procedures and privacy requirements





Organization & Initiative
- Manage multiple priorities and deadlines in a busy office environment
- Take ownership of assigned tasks and follow them through to completion
- Identify outstanding items and follow up without requiring continual direction
- Learn new systems, processes, and responsibilities as the position evolves
- Contribute to improving administrative and billing processes

Requirements
- College education in business administration, office administration, accounting, bookkeeping, or a related field preferred
- Previous administrative, accounts receivable, billing, or bookkeeping experience is an asset
- Excellent written and verbal communication skills
- Strong attention to detail and a high level of accuracy
- Comfortable professionally following up regarding outstanding invoices and payments
- Strong organizational and time-management skills
- Proficiency with Microsoft Office, email, spreadsheets, and other business software
- Ability to learn new billing and client-management systems
- Ability to work independently, identify priorities, and complete tasks with minimal supervision
- Professional and confident when communicating with clients, insurance companies, law firms, and other stakeholders
- High level of confidentiality and discretion when handling sensitive information

Pay: From $20.00 per hour
