We are looking for a highly motivated, detail-oriented Medical Aesthetics Receptionist who is passionate about skincare, beauty, wellness, and providing an exceptional patient experience.

As the first point of contact for our clinic, you will play an important role in creating a welcoming, professional, and elevated experience for every patient. We are looking for someone who takes pride in their work, is eager to learn, and genuinely enjoys helping people feel confident in their skin.

Key Responsibilities

- Provide a warm, qualified, and personalized experience for every patient from arrival through checkout
- Manage a high volume of incoming phone calls, texts, emails, and other patient inquiries in a timely and professional manner
- Schedule, reschedule, and confirm patient appointments
- Process payments and assist with daily administrative and reception duties
- Maintain accurate patient information and clinic records
- Assist with general clinic organization, cleanliness, and upkeep
- Educate patients on clinic services, skincare, products, and treatment options within the scope of the role
- Support patient retention by encouraging appropriate follow-up appointments and helping patients stay on track with their treatment plans
- Work closely with physicians, nurses, medical aestheticians, and other team members to ensure a seamless patient experience
- Stay current on skincare, beauty, wellness, and medical aesthetics trends and innovations




- Consistently create and contribute to our social media content, including educational and engaging content that reflects our brand
- Support clinic promotions, events, marketing initiatives, and other projects as required
- Maintain a high level of professionalism, confidentiality, organization, and attention to detail at all times

Qualifications & Skills

- Excellent verbal and written communication skills
- Exceptional customer service skills and a genuine desire to exceed patient expectations
- Ability to multi-task, prioritize, and remain organized in a busy environment
- Comfortable managing a high volume of phone calls, messages, and patient inquiries
- Strong administrative and organizational skills
- Previous experience in medical aesthetics, skincare, cosmetics, makeup, beauty, or a related industry is preferred
- Experience working with medical booking software/EMR is an asset
- Strong computer skills and the ability to learn new systems quickly
- A genuine desire to learn, grow, and continually advance your knowledge and skillset
- Ability to work independently, take initiative, and identify what needs to be done without always being asked
- Ability to work collaboratively and contribute positively as part of a team
- Strong attention to detail and follow-through
- Professional, polished, reliable, and personable
- Comfortable appearing in and contributing to social media content
- Passionate about skincare, beauty, wellness, and the medical aesthetics industry
