Position Overview

We are hiring a Business Operations Coordinator for our Kenora office. It is a permanent full-time position, and a new one, so there is room to shape it around what you are good at. This is the role that keeps our client work moving. Pricing from our suppliers, quotes and proposals, renewals, purchase orders and the equipment that follows them, the monthly billing, and the records behind all of it. When a deal closes, you are the reason the right gear shows up and the paperwork is where it should be.

You do not need a technology background. If you have done quoting, purchasing, billing or contract work in an office, in any industry, you have done most of this already. We will teach you the rest, and there is as much room to grow into the commercial side of the business as you want to take.

Work Setting & Location Requirements

This position is in our Kenora office, in person. A lot of what we do happens in conversation across the room rather than in an inbox, and it is by far the fastest way to learn the business. Some work-from-home flexibility may become available once you are established in the role. You must live in Kenora or be willing to relocate.

Key Responsibilities

- Get pricing from our suppliers and distributors, and keep it moving until it lands
- Prepare quotes, proposals and work orders, and get them out on time and right the first time
- Keep our renewals ahead of their expiry dates,



so nothing lapses
- Raise purchase orders and see orders, shipments, returns and warranty claims through to closed
- Prepare the monthly billing, and make sure what we bill matches what we supply
- Keep our sales and contract records accurate enough that anyone can pick them up, and pull the reports for our weekly and monthly meetings
- Coordinate travel and logistics for our field work, including trips to remote and fly-in communities
- Put together the handover package when a sale moves into delivery

Required Qualifications

- Two or more years in an office role handling quotes, purchasing, contracts, billing, scheduling or similar coordination work, in any industry
- Comfortable in Microsoft 365, and used to keeping records current in a business system of some kind
- Fluent professional English, written and verbal
- Able to pass a criminal record check and obtain enhanced reliability security clearance, which our clients require
- Eligible to work in Canada, and living in Kenora or willing to relocate

Preferred Qualifications (Assets)

- Purchasing, supplier quoting or vendor management in any industry
- Bookkeeping, accounts payable or receivable, or contract administration
- Experience with accounting software, a booking or dispatch system, or an inventory or customer database
- Experience in a role where your records were audited or reviewed
- Exposure to IT, telecom or equipment sales
- French

- Able to juggle a few deadlines in the same week without dropping any
- Comfortable picking up the phone to a supplier, and clear in writing
- Easy to work with, and happy to pitch in where the team needs it

Schedule & Availability

- Standard 8-hour day shift, Monday through Friday
- 4-Day Work Week available after successful completion of probation (earned privilege program)
- Occasional longer days around proposal and renewal deadlines, with time in lieu where warranted

Compensation & Benefits Package

- Salary of CA$65,000 to CA$72,800, based on your experience
- Four-day work week after probation. Every weekend is a long weekend
