Client Intake Support Position
Position Type: Full time (1 Year Contract)
Reports To: Director of Operations
Hours: Mondays, Tuesdays, Thursdays & Fridays 8:30 am to 4:30 pm
Wednesdays – 11:00am – 7:00pm
Wage: $23.71/Hourly
Purpose of Position:
Client Intake Support provides front line support to clients and staff. As the first face met when coming into the Hope Centre, the person in this role needs to provide professional, friendly, knowledgeable service to all who enter the Hope Centre.
Major Duties and Responsibilities:
· Answer incoming requests from clients who walk-in or call-in to the centre
· Direct clients to the other agencies in the Community Hub and answer questions regarding their services
· Field questions about services in the community and provide information. Needs to be familiar with local agencies providing assistance to our client base and resources available.
· Complete intake for food bank clients using Link2Feed program, and uncover and address any additional needs clients may have
· Schedule appointments for on-site healthcare provider – Reach Clinic
· Fax and copy documents for clients
· Administrate the Good Food Box program – accept, track, and submit orders monthly; accept payments; answer questions on program; distribute food boxes monthly
· Administrate the Mail / Message Program – take messages/accept mail for clients; record messages; register current clients
· Complete deposit waivers on behalf of clients for Welland Hydro
· Support food bank and kitchen with administrative tasks, as needed
· Create and maintain listing of rental properties in Welland and surrounding area utilizing internet sites and contacts within the community to share with clients each week.
· Direct clients with where to complete Niagara Regional Housing applications, Discretionary Benefits and Housing Stability applications, when time allows.
· Complete OESP applications
· Complete City of Welland Water applications
· Facilitating direct payments between the Client and Landlords.
· Assisting with Clients filling out forms associated to their needs to securing and maintaining housing.
· Gather and compile statistics for services offered
· Submit monthly stats (food bank & kitchen)
· Responsible for boardroom bookings of external clients
· Ensure confidentiality is maintained for our clients
· Ensure reception area is clean and tidy
· Other duties as assigned
· Post-secondary education in Social Services is required.
· A clear Vulnerable Sector check to be provided prior to commencement of employment.
· Experience in Social Service field and providing administrative support is required.
· Strong customer service skills.
· First Aid training, including basic CPR. (provided by employer)
· Ability to operate in a busy environment with multiple interruptions.
· Active listening skills.
· Excellent written and oral communication skills.
· Ability to plan and prioritise work and remain adaptable/ flexible.
· Ability to function in a team setting.
· Strong computer skills with Microsoft Office - Word processing and Excel
Desirable Qualifications:
· Knowledge of housing programs, resources, and relevant legislation an asset.
· Knowledge of local community-based resources and supports.
Pay: $23.71 per hour
