Civil Construction Operations & Administrative Coordinator

Verity Construction is looking for a highly organized and capable Civil Operations & Administrative Coordinator to join our team in Langford.
This is a combined operations and administrative position. Approximately half of the role will be dedicated to coordinating our civil equipment and employees, while the other half will involve construction and general office administration.
We are looking for someone who can keep track of a large number of moving parts, communicate confidently with field employees and take ownership of important administrative work without requiring constant direction.
Civil Operations Coordination – Approximately 50%
- Track the daily location and availability of excavators, dump trucks, slinger trucks and other company equipment
- Maintain schedules for equipment, operators, truck drivers and underground pipe crews
- Help coordinate the daily movement of employees and equipment between projects
- Communicate scheduling information to supervisors, operators, drivers and crews
- Maintain an up-to-date overview of current and upcoming civil work
- Track employee availability, vacation, absences and scheduling requirements
- Help ensure that the correct employees and equipment are assigned to each project
- Track equipment maintenance, inspections, repairs and service requirements
- Coordinate equipment servicing and repairs with our shop and outside suppliers
- Maintain equipment records, hours, service information and related documentation
- Help identify scheduling conflicts, equipment shortages and upcoming operational requirements
- Follow up with supervisors and employees to ensure information is accurate and current
- Prepare daily or weekly equipment, employee and project schedule updates
- Assist with trucking, material deliveries and supplier coordination as required
Construction and Office Administration – Approximately 50%
- Prepare and submit building permit applications
- Collect and organize drawings, schedules, consultant letters and other permit documents
- Follow up with municipalities, consultants and project teams regarding permit requirements and approvals
- Track permit application status, outstanding requirements and approval dates
- Maintain organized project files, permits, inspection records and correspondence
- Assist with project schedules and track important deadlines and outstanding items
- Prepare purchase orders, work orders, spreadsheets, reports and other project documents
- Assist with invoice review, job-costing information and administrative recordkeeping
- Coordinate meetings and maintain action-item lists when required
- Order office supplies and manage general office requirements
- Assist project managers, supervisors and company management with administrative tasks
- Help create and improve systems for tracking projects, employees and equipment
Qualifications
- Experience in construction administration, civil construction, dispatch, project coordination, fleet coordination or a similar operational position
- Strong organizational and time-management skills
- Ability to coordinate multiple employees, pieces of equipment and active projects
- Strong follow-through and attention to detail
- Comfortable speaking directly with field employees, supervisors, suppliers, consultants and municipal staff
- Able to work independently, take initiative and solve day-to-day problems
- Strong computer skills, including Microsoft Outlook, Word and Excel
- Comfortable learning construction management, scheduling and equipment-tracking software
- Experience preparing building permit applications is an asset
- Experience with civil construction, heavy equipment or trucking is a strong asset
- Knowledge of purchase orders, invoicing and job costing is an asset
- Clear and professional written and verbal communication
- Valid Class 5 driver’s licence
The Right Person The right candidate will be practical, dependable and comfortable working in a busy construction environment. You will enjoy organizing people, equipment, schedules and paperwork. You must be willing to follow up with employees, ask questions and make sure important tasks are completed. You should be able to change priorities during the day when field conditions or schedules change, while still keeping permit applications and other administrative work moving forward.
This is not a basic reception or data-entry position. It is an important coordination role that connects our office, civil crews, equipment, project managers, supervisors, suppliers and municipalities.
