About the Role The Coordinator, Engagement & Events (the Coordinator) for the British Columbia College of Oral Health Professionals (BCCOHP) works collaboratively across departments to provide communications and engagement support for regulatory processes and strategic initiatives. The coordinator plays a critical role in planning and delivering BCCOHP’s internal and external events and engagement initiatives. By supporting the execution of BCCOHP’s communications and engagement strategy, this role directly contributes to the experience of those who interact with BCCOHP, including the public, oral health professionals, and the staff team.

Essential Duties

Engagement Coordination

- Support the execution of BCCOHP’s engagement strategy, including events and outreach activities.
- Support the planning and execution of BCCOHP consultations.
- Support the planning and execution of BCCOHP’s research programs.
- Develop and maintain engagement resources (i.e. surveys, questionnaires) to support consultations, research, events, and organizational initiatives.
- Write and publish print and digital content and help to ensure that BCCOHP’swebsite, socials, and intranet are accurate and up to date with respect to engagements and events.
- Work with internal departmental contacts to maintain intranet subsites for staff.
- Create organizational communications materials, including speaking notes, web content, announcements, presentations, documents, and resources.
- Recommend and implement enhancements to communications and engagement processes to improve the experience of all who interact with BCCOHP.
- Support engagement efforts related to departmental and strategic initiatives both internally and externally.
- Apply a cultural safety and humility lens to engagement with BCCOHP’s audiences.
- Conduct internal and external research on matters relevant to BCCOHP’s engagement objectives and identify opportunities for improvement.

Event Coordination Coordinate internal and external events such as webinars, presentations, conferences, staff meetings (primarily virtual), all-staff gatherings/workshops (primarily in-person), and social events (as a standing member of the social committee). Related tasks may include:

- Creating and maintaining event plans and timelines.
- Coordinating attendee list, invitations, and confirmations.
- Conducting venue site visits and coordinating venue bookings.
- Confirming AV and other onsite logistics.
- Preparing invitations and name tags.
- Arranging catering.
- Developing materials such as scripts, speaking notes, and handouts.
- Liaising with speakers, vendors and participants.
- Updating scripts and speaking notes.
- Booking vendors.
- Acting as a representative on event/meeting days.
- Setting up, hosting and facilitating online meetings.

Other Responsibilities

- Provide coverage for other members of the Communications & Engagement team as needed.
- Other duties as required.

Essential Skills and Qualifications

- Education, training, and experience equivalent to a diploma or undergraduate degree in communications, marketing or a related field, combined with 2 years' experience, or equivalent combination of education and experience.




- Demonstrated customer experience or service experience is an asset.
- Proficiency with Microsoft Office, databases, web-based tools, electronic filing, content/document management, cloud-based applications and intranets along with advanced computer skills, including internet, phone, and video conferencing tools.
- Exceptional communication skills, both written and interpersonal, with a demonstrated ability to draft clear, professional correspondence and effectively engage with internal/external individuals.
- Attention to detail and dependability are second nature.
- Basic video editing skills and familiarity with Adobe Creative Suite are an asset.
- Experience using an email marketing system (such as ClickDimensions) and a website content management system (such as WordPress) is an asset.
- Exceptional organizational skills with the ability to multi-task, prioritize, and meet tight deadlines in a fast-paced environment.
- Resilient and calm under pressure, with the ability to adapt to changing priorities and handle multiple tasks and projects simultaneously.
- Ability to handle sensitive and confidential information with discretion.
- Anti-racism and/or diversity, equity and inclusion training or equivalent self-directed training is an asset.
- Indigenous Cultural Safety training or equivalent self-directed training is an asset.
- Remote work experience and experience in a regulatory, not-for-profit environment or post-secondary environment is an asset.

Work Hours BCCOHP's regular hours of business are 8:30 am to 4:30 pm, Monday through Friday. This is a full-time permanent position, requiring 35 hours per week (7 hours per day).

Flexibility

BCCOHP offers flexibility for a hybrid work arrangement depending on the role and operational needs. The number of days required to be in office for this position is dependent on operational needs and workload.

We also offer core work hours between 9:30 am - 2:30 pm. The successful candidate may adjust their work day as long as they are working within the set core work hours, and depending on operational needs.

Total Compensation & Perks The successful candidate will be offered a competitive compensation and benefits package. The annual salary range for this position is $55,096.98 to $59,958.48. The salary offered will be determined based on factors such as experience relative to the requirements of the role.
