Job Overview The Coordinator, Volunteer, Special Events & Donor Engagement serves as the primary strategic and operational anchor for community activation, event logistics, volunteer integration, and cross-over donor stewardship. Working closely with Executive Staff, HR, and Department Managers, you will bridge frontline operations with fund development—leading major event logistics, designing centralized volunteer frameworks, and cultivating volunteers into long-term financial supporters.

Key Responsibilities

Volunteer Strategy & Centralized Management

- Develop high-level volunteer training frameworks, onboarding materials, and educational pathways.
- Oversee centralized shift scheduling software to maintain coverage across kitchen, drop-in, and seasonal operations.
- Recruit, train, and deploy dedicated volunteer teams for special events and manage an on-call emergency contingent for seasonal weather surges.
- Provide direct supervisory leadership to Volunteer Team Leads and event support staff.

Special Event Strategy & Execution

- Lead the end-to-end planning, logistics, and execution of major events, galas, donor appreciation gatherings, and seasonal hub activations.
- Source and manage external vendors, venues, caterers, and equipment within defined event budgets.
- Collaborate with Marketing and Fund Development teams on run-of-shows, promotional schedules, and sponsorship fulfillment.
- Manage on-site event setup/teardown, registration, guest experience, and live issue resolution.

Donor Stewardship & Relationship Building

- Identify high-potential donors within volunteer networks and event pipelines,



creating pathways to financial giving.
- Partner with Fund Development to integrate volunteer recognition into broader donor stewardship campaigns.
- Build relationships with sponsors, community champions, and volunteer leaders to drive long-term engagement and retention.

Institutional Partnerships & Data Analytics

- Cultivate strategic partnerships with local post-secondary institutions, corporate groups, and faith communities to build volunteer and sponsorship pipelines.
- Track and report on key KPIs, including event ROI, volunteer retention, service hours, and volunteer-to-donor conversion rates.
- Maintain data integrity across volunteer management software and fundraising CRMs.

Health, Safety & Organizational Culture

- Ensure all volunteer training and event planning strictly align with Occupational Health & Safety standards, PPE guidelines, and trauma-informed practices.
- Act as a secondary site lead during large-scale event incidents, crisis situations, or emergency responses.
- Model Ark Aid’s Christian values, mission, and vision in all public and internal interactions.

Qualifications & Core Competencies

Required:

- Diploma or Degree in Event Management, Volunteer Management, Community Development, Fundraising, Public Relations,



or a related field.
- 2–4 years of experience in event planning, volunteer program coordination, or donor relations.
- Experience managing event budgets, tracking KPIs, and utilizing volunteer software or CRMs (e.g., DonorPerfect, Raiser's Edge, Salesforce).
- Demonstrable commitment to the Christian values and mission of Ark Aid.

Preferred:

- Certified in Volunteer Administration (CVA) or Certified Special Events Professional (CSEP).
- Experience executing multi-site fundraising events and campus recruitment pathways.
- Certifications in Non-Violent Crisis Intervention (NVCI), De-escalation, First Aid/CPR, or Trauma-Informed Care.

Working Conditions & Physical Demands

- Schedule: Full-time, with frequent evening and weekend hours required for events and volunteer orientations.
- Workplace: Mix of office work, event venues, and active frontline social-service drop-in environments.
- Physical Demands: Active mobility across event sites and ability to safely lift/carry up to 25 lbs of event supplies.
- Location: Local travel required between Ark Aid sites and within London, ON.
