The Executive

Assistant will provide executive administrative services and support to the Office of Cannabis Management (OCM) Director and other executive staff. The incumbent will communicate with agency staff, other state agencies and legislative staff, external stakeholders, and the general public. Duties involve scheduling meetings, making travel arrangements, and preparing reports.

This position will deal with highly confidential and sensitive information and the incumbent must posses a high level of confidentiality,



professionalism, and time management skills. This position is located in St. Paul and may telework from home two days per week and is required to be in the office three days per week.

A successful incumbent in this position will be able to:

- Schedule meetings, respond to emails, make travel arrangements, prepare reports, and complete other administrative duties
- Maintain confidentiality
- Mail, fax, and email various documents to directors, councils, and other stakeholders on behalf of OCM leadership
- Independently exercise good judgement to seek assistance, answer inquiries, and perform administrative duties as requested by OCM leadership
- Receive, screen, and direct phone calls and constituent inquiries to the appropriate receiver
- Develop and maintain effective working relationships with coworkers and celebrate diversity in the workplace Minimum Qualifications To facilitate proper years of service crediting, please ensure that your resume clearly describes your experience in the areas listed and indicates the beginning and ending month and year for each job held. Executive, administrative, or support assistant experience that includes the following:
- Knowledge of communication sufficient to answer phones, direct calls, and take messages; and communicate effectively with internal and external customers.
- Ability to respond effectively to sensitive inquires and/or complaints and communicate in a variety of formats to gather and relay information with tact and diplomacy.
- Ability to perform administrative support work for OCM’s expense and budget administration.
- Skill in customer service sufficient to provide prompt and accurate information to customers in person, on the phone, and through email and other written or electronic correspondence;
- Skill in word processing sufficient to:
- Use software, such as Microsoft Word, to type and format letters, memos, reports, and minutes of meetings, etc.; and
- prepare, edit, and finalize emails, memos, reports, and/or other documents and types of written communication that are grammatically correct, in proper format, and free of spelling errors.

Preferred Qualifications - Two (2) years of administrative support experience as an executive administrative assistant or office manager.

- Experience overseeing or managing offices and/or facilities.
- Proficient computer skills.
- Familiarity with Minnesota State policies, procedures, rules, and regulations.




- Knowledge or experience with State accounting procedures: budget request processes, expense reimbursement, budget transfer, purchasing requests, etc.
- The ability to celebrate diversity and a strong commitment to a respectful and inclusive work environment.
