Position Overview The Executive Assistant (EA) will provide high-level support to the executive team of North Atlantic. The EA plays a crucial role in optimizing workflow, managing relationships, and enhancing the effectiveness of the executive leadership team. This is a fast-paced, highly visible position that requires exceptional judgment, discretion, and organizational skills. High levels of professionalism, confidentiality, attention to detail, and problem-solving skills are required.

The Executive Assistant will have the ability to exercise sound judgment in a variety of situations, with strong communication, administrative, and organizational skills, and the ability to effectively manage multiple priorities. The successful candidate will be proactive, adaptable, and highly organized,



anticipating needs and providing seamless support in a fast-paced environment.

Duties and Responsibilities:

- Provide proactive support to the executive team, anticipating needs and helping to ensure priorities are managed effectively.
- Manage schedules for executives as needed.
- Ensure executives are fully prepared for meetings with relevant briefing notes.
- Coordinate activities and initiatives across departments, supporting communication, planning, and follow-up as required.
- Act as the gatekeeper for internal and external contacts, including colleagues, clients and business partners.
- Maintain a high degree of discretion and confidentiality.
- Draft, review and send communications on behalf of executives.
- Schedule executive meetings, assist in the preparation and distribution of meeting materials, record meeting minutes for distribution.
- Coordinate and book travel and accommodation for members of executive team.
- Provide executive-level administrative support, including organizing reports, documents and presentations, ensuring that confidential and sensitive information is handled appropriately.
- Arrange and co-ordinate, meetings, seminars and training as required.
- Prepare, reconcile, and submit expense reports.
- Attend meetings and take notes of discussion; prepare minutes and summaries.
- Contribute to special projects, events, and other business initiatives while maintaining a high level of professionalism and attention to detail.
- Other additional and/or alternative duties as assigned from time to time, including supporting other departments or executives as needed.
- Routinely perform a wide variety of support duties.
- Other duties as required.

Qualifications:

- Post secondary diploma in office administration or related field.




- Two years’ prior experience in supporting a senior executive or executive team.
- Experience in the energy, oil and gas, engineering, logistics, or related industries would be considered an asset.
- Proficient in MS Office Suite.
- Exceptional attention to detail, organizational skills, and the ability to prioritize.
- Ability to build trust through professionalism, discretion, and responsible handling of confidential information.
- Solid interpersonal skills with the ability to build effective working relationships across the organization.
- Strong verbal, written and oral communication skills.
- Sound analytical thinking, planning, prioritization, problem solving and execution skills.
- Enthusiastic, self-starter with the ability to work as a team, and take the initiative to contribute to the company’s overall success.
- Work in a manner that exemplifies integrity and quality.
- Flexible to adapt to changing priorities.
- Capable to work under minimal supervision, independently and as a part of a team.
- Able to multi-task in a fast paced, deadline driven, team focused environment.
