We are seeking a dynamic and highly organized Executive Assistant to support our CEO in a full-time capacity. Your Role in Our Success

- Take on the role of a trusted partner to the CEO, providing proactive support across day-to-day priorities and longer-term initiatives.
- Manage the CEO’s calendar, priorities and external engagements by handling scheduling, protecting focus time, and filtering requests.
- Coordinate domestic and international travel logistics and itineraries, including visas and expense reconciliation.
- Conduct research and synthesize information to support the CEO’s decision-making.
- Lead official communications with the board and external advisors and manage sensitive correspondence.
- Support government grants and funding efforts by helping assess opportunity fit, coordinating and drafting applications, assembling supporting documentation and managing reporting/collection processes.
- Manage recruitment for key roles: help shape job descriptions, coordinate interviews, manage references and close offers; support smooth onboarding.
- Help build and preserve company culture: organize initiatives that reinforce engagement and retention, and contribute to a positive, high-accountability workplace.
- Oversee risk and compliance tasks in applicable domains: maintain registers, coordinate audits or regulatory submissions as needed, and help implement corrective actions.
- Support strategic planning and organizational initiatives led by the CEO and the leadership team.
- Support the implementation, optimization, and ongoing administration of business systems where needed.




- Take on special projects as priorities evolve.

What success looks like (KPIs)

- 90%+ of routine/recurring meetings scheduled autonomously.
- Manage 12+ domestic/international trips per year; error‑free itineraries delivered ≥7 days before departure (using Wanderlog for complex trips).
- Manage all trip/business expenses via Dext with accurate categorization and timely submission.
- Positive feedback from leadership and cross‑functional teams on responsiveness and reliability.
- Confidentiality and professional handling of sensitive matters.

What Makes You a Great Fit

- 3–5 years supporting C‑level or senior leaders, preferably in small or mid‑sized organizations.
- Ability to commute to the Edmonton office location; occasional travel possible.
- Confidentiality & Discretion: You show a deep understanding of the sensitive nature of information and handle it with the utmost confidentiality and discretion, safeguarding the company’s interests.
- Proactive Problem-Solving & Initiative: You take the initiative to understand the office’s rhythm and decision-making processes, independently and reliably addressing issues as they arise.
- Communication & Collaboration: You demonstrate good interpersonal skills, communicating effectively with team members and external partners, while being adaptable.
- Bachelor's degree in business administration, communications, or a related field is preferred.
- Nice to have: Proficiency with Google Workspace and Microsoft 365; comfortable learning new tools (ADP Workforce Now, Dext, Wanderlog). Training will be provided.

Pay: $56,000.00-$60,000.00 per year
