As we continue to strengthen and stabilize our operations, the newly created Finance Specialist position will support the organization’s financial operations and help strengthen and streamline our finance processes.
Position Summary The Finance Specialist is responsible for the day-to-day financial administration of the organization, supporting multiple locations through the efficient management of accounts payable, accounts receivable, payroll processing and month-end accounting activities. This position plays a key role in maintaining accurate financial records, ensuring timely payments and collections, and providing reliable financial information to management.
Key Responsibilities
Accounts Payable
- Process vendor invoices and employee expense reports for multiple locations.
- Prepare regular vendor payment batches for management approval.
- Maintain relationships with vendors,
serving as a point of contact for payment inquiries and reconciling vendor statements.
- Prepare, review and input monthly credit card reconciliations.
- Identify unusual expenditures, recurring cost increases or payment discrepancies.
Accounts Receivable
- Manage and process monthly revenue billing and collection of childcare fees, including subsidized fees.
- Monthly reconciliation of subsidized fees.
- Prepare charitable donation receipts, as required.
- Review aged AR and manage collection of outstanding fees.
- Prepare, issue, and track invoices for facility fees and other organizational charges.
Payroll Processing:
- Process bi-weekly payroll; Manage payroll journal entries; Maintain employee time-tracking records.
- Prepare monthly Employer Health Tax (EHT) reconciliation.
- Ensure compliance with all payroll regulations and company policies.
- Support the Manager of People and Culture with on-boarding and off-boarding processes.
Monthly Financial Tasks:
- Assist with month-end closing process by preparing necessary journal entries and accruals related to payable and receivable accounts.
- Prepare monthly reports on the status of Aged Receivables and Payables to support cash flow forecasting and management.
- Complete monthly reconciliations of Accrued and Prepaid Expenses.
General:
- Prepare or assist with bi-annual HST filings and reconciliations.
- Assist with preparation of year-end working papers and supporting schedules.
- Support continuous improvement initiative within the Finance Department.
- Provide back-up support for additional accounting functions, as required.
Qualifications & Skills
- Diploma or degree in Accounting, Finance or related field. (required)
- 3-5 years of progressive accounting or finance experience.
- Payroll experience. (required)
- Experience with Quickbooks Online and/or PowerPay (Dayforce) is an asset.
- Advanced Excel skills, including lookups and pivot tables.
- Highly organized, detail-oriented, and ability to manage multiple priorities.
